Description
  • Sort, tag, and prioritize emails daily to maintain zero unread policy.
  • Maintain cloud-based document storage (Google Drive, Dropbox, etc.) for quick retrieval and logical filing.
  • Schedule meetings, personal tasks, and project milestones with reminders.
  • Track deliverables from multiple team members across client's business, Makaō, and personal projects.
  • Follow up daily with responsible staff to ensure timelines are met.
  • Create concise weekly and monthly executive reports summarizing project status, blockers, and next steps.
  • Communicate clearly with staff, suppliers, and partners to move tasks forward.
  • Handle high-level guest or client issues with discretion and tact.
  • Take meeting notes and circulate follow-up tasks.
Hard Requirements:
  • Minimum 5 years in senior VA, executive assistant, or project coordination roles.
  • Gmail & email management tools
  • Asana or ClickUp (project management)
  • Google Workspace / Microsoft 365
  • QuickBooks or basic accounting systems
  • Slack/WhatsApp for internal comms
  • Highly effective communicator (clear, concise, and professional)
  • Detail-oriented with strong organizational habits
  • Problem-solver with ability to anticipate needs
  • Absolute trustworthiness & discretion for handling sensitive company and personal information.

CLIENT'S EXPECTATIONS:

  • Inbox always under 10 pending items daily.
  • All deadlines met or escalated with alternatives proposed.
  • Progress reports delivered weekly by EOD Friday.
  • 95%+ positive feedback from CEO and team communications.
Schedule:
  • 20 hours per week
  • Monday to Friday
  • 9AM–1PM US Eastern Standard Time Zone
Offer and Benefits:
