Tasks and Responsibilities:

  1. Documentation & Recordkeeping

  2. Prepare, encode, and update all warehouse and delivery documents including delivery receipts (DR), sales invoices (SI), sales return slips (SRS), gate passes, and dispatch records.

  3. Maintain accurate electronic and hard-copy files of warehouse and delivery documents in accordance with ISO document control requirements.
  4. Monitor and maintain controlled forms used in warehouse and delivery operations.
  5. Ensure proper version, labelling, and traceability of all warehouse records.

  6. Finished Goods Warehouse Support

  7. Encode daily receiving, put-away, and issuance transactions into the Warehouse Management System (WMS) or inventory database.

  8. Assist in monitoring stock levels, generating stock cards, and preparing daily and monthly inventory reports.
  9. Coordinate with FG warehouse personnel for discrepancies and ensure timely updating of Inventory movements.
  10. Assist in cycle counts and physical inventories by providing accurate reports and documentation.

  11. Delivery / Fleet Support

  12. Prepare trip tickets, dispatch schedules, and delivery documents for drivers.

  13. Encode delivery completion reports, truck mileage, fuel monitoring logs, and travel histories.
  14. Consolidate delivery performance data for KPI reporting (on-time delivery, trip completion, etc.).
  15. Communicate with Accounting or Sales regarding delivery documentation requirements.

  16. ISO Compliance & Internal Support

  17. Ensure all tasks comply with ISO 9001:2015 quality procedures, work instructions, and documentation requirements.

  18. Support internal and external audit requirements by preparing requested documents and records.
  19. Report any identified nonconformities in warehouse or delivery documentation.
  20. Participate in continuous improvement activities led by the supervisor.

  21. Administrative Support

  22. Assist in preparing weekly and monthly department reports.

  23. Maintain orderly and updated filing cabinets, record archives, and digital databases.
  24. Perform clerical duties such as printing, scanning, photocopying, and office supply monitoring.

Qualifications:

  1. Education

  2. College graduate, preferably in Business Administration, Office

  3. Administration, Logistics, or related field.

  4. Experience

  5. At least 1–2 years clerical or administrative experience, preferably in warehouse or logistics operations.

  6. Experience in ISO-certified companies is an advantage.

  7. Skills & Competencies

  8. Proficient in MS Office (Excel, Word).

  9. Knowledge of basic inventory and logistics processes (preferred).
  10. Strong attention to detail and high accuracy in encoding.
  11. Good communication and teamwork skills.
  12. Ability to manage filing systems and handle multiple tasks.
