About the Role:
A highly skilled and dependable **Personal Injury (PI) Paralegal** to support our legal team in managing personal injury cases from intake through case closure. This role requires exceptional organizational skills, strong written English communication, and sound judgment in client and insurance communications.
The ideal candidate has prior experience handling PI cases, can manage documentation efficiently, and understands the nuances of case management and litigation support in a fast-paced legal environment. You'll play a key role in ensuring case continuity, from intake and demand drafting to lien resolution and file closing.
Key Responsibilities:
Case Intake & File Management:
- Manage the entire case lifecycle — from client intake through demand, lien resolution, and closing procedures.
- Gather, organize, and maintain client information, case details, and supporting documentation.
- Request, track, and follow up on medical records, police reports, insurance documents, and other case materials.
- Ensure all documents are accurately labeled, uploaded, and stored in Clio and Google Drive.
- Maintain consistent and up-to-date information across systems and trackers.
Medical Chronology & Evidence Management:
- Use technology and sound judgment to create and maintain medical chronologies, expense summaries, and treatment timelines to support demand package preparation.
- Review, summarize, and organize medical records and other evidence for attorney reference and negotiation preparation.
Client & Insurance Coordination
- Communicate with clients to collect missing information, provide status updates, and ensure a positive client experience.
- Coordinate with insurance adjusters, medical providers, and lienholders to follow up on documentation and claim details.
- Exercise discretion in client communications; escalate sensitive issues to attorneys promptly.
- Maintain empathy, professionalism, and consistency in tone in all written and verbal interactions to preserve client trust and uphold firm standards.
- Draft and send professional, grammatically correct written correspondence and updates.
Administrative, Litigation & Case Support:
- Support attorneys by ensuring all necessary documents and case files are complete, organized, and ready for review.
- Assist in discovery responses, deposition scheduling, and trial binder preparation.
- Track and manage litigation deadlines and related tasks within Clio.
- Update case trackers, maintain detailed notes, and ensure clear handoffs between case stages.
- Conduct light research, fact-checking, and summarization of reports or client notes as needed.
- Ensure confidentiality and accuracy in all communications and case documentation.
Collaboration & System Management
- Use Clio for case management and Google Drive for file organization and storage.
- Experience with HubSpot for client communication tracking is a plus, but not required.
- Coordinate closely with attorneys and team members to ensure timely completion of case milestones.
- Maintain concise written updates to keep the legal team informed of progress and next steps.
Qualifications & Ideal Traits:
- Proven experience as a Paralegal or Legal Assistant, preferably in Personal Injury (PI).
- Strong written and verbal English communication skills with excellent grammar and professional tone.
- Ability to exercise judgment, discretion, and empathy in client interactions.
- Exceptional organizational and time management skills with attention to detail.
- Proficiency in Clio, HubSpot, or similar legal/case management tools is an advantage.
- Self-motivated, dependable, and able to work independently with minimal supervision.
- Prior experience handling California PI or motor vehicle accident cases is a strong plus.
Working Environment:
- Part-time position (minimum 20 hours per week, around 4 hours per day).
