Job Summary:

The Administrative Assistant provides administrative and clerical support to ensure efficient operation of the office. This role involves managing schedules, handling correspondence, maintaining records, and assisting other staff members with day-to-day administrative tasks. The ideal candidate is organized, detail-oriented, and capable of managing multiple responsibilities simultaneously.

Key Responsibilities:

  • Answer and direct phone calls, emails, and other correspondence.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Prepare and edit documents, reports, presentations, and spreadsheets.
  • Maintain filing systems, both electronic and physical, ensuring accuracy and confidentiality.
  • Assist with office supply management and procurement.
  • Support internal teams with administrative tasks and project coordination.
  • Greet visitors and provide a positive, professional first impression of the organization.
  • Manage and maintain office equipment and ensure smooth day-to-day operations.
  • Perform data entry, record keeping, and basic bookkeeping tasks as needed.
  • Assist in preparing agendas, meeting minutes, and follow-up actions.

Qualifications:

  • High school diploma or equivalent; Associate's or Bachelor's degree in Accounting is preferred.
  • Proven experience as an administrative assistant or in a related role.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and office software.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to prioritize tasks and work independently with minimal supervision.
  • Attention to detail and problem-solving skills.
  • Professional demeanor and strong interpersonal skills.
