Job summary

We are seeking a highly organized and detail-oriented Bookkeeper an Administrative Assistant to join our team. In this role, you will manage day- to-day financial operations, serve as a primary contact for our clients, and provide essential administrative support to our accounting team. The ideal candidate has strong bookkeeping skills, excellent communication abilities, and a proactive approach to managing tasks.

Key responsibilities:

Bookkeeping and financial tasks:

  • Manage and maintain accurate financial records, including accounts payable, accounts receivable, and payroll.
  • Process and record daily financial transactions, including receipts, invoices, and payments.
  • Perform bank and credit card reconciliations monthly to ensure accuracy and resolve discrepancies.
  • Collaborate with the accountants to prepare financial reports, including profit and loss statements and balance sheets.
  • Assist with month-end and year-end closing procedures.
  • Ensure compliance with financial regulations and maintain organized financial documentation for audits.

Client and administrative support:

  • Serve as the main point of contact for clients, managing all incoming calls and email inquiries.
  • Schedule and confirm client appointments, manage the accountants' calendars, and coordinate meeting logistics.
  • Handle billing inquiries and collect outstanding payments from clients in a professional and courteous manner.
  • Prepare and send communications, reports, and other documents to clients.
  • Maintain accurate and organized client files, both physical and digital.
  • Manage general office duties such as ordering supplies and responding to administrative requests.

Qualifications and skills

  • Proven experience in a similar bookkeeping or accounting
  • administrative role.
  • Strong proficiency with accounting software (e.g., QuickBooks Online,
  • Xero) and Microsoft Excel.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong written and verbal communication skills.
  • Excellent customer service and interpersonal skills.
  • A high degree of discretion and ability to maintain confidentiality.
  • Self-motivated and able to manage multiple tasks and deadlines

Preferred:

  • Associate or bachelor's degree in Accounting, Finance, or a related field.
  • Experience in a client-facing role at an accounting firm.
