Job Description: Head of Systems & IT (Group Level)

LOCATION:

Makati / Sta. Rosa (with coordination across all group operations)

REPORTING TO:

Founder / Group President

ROLE OVERVIEW:

The Head of Systems & IT will be responsible for designing, implementing, and enforcing all digital systems across the CostPlus Group and its affiliated businesses. This role ensures the organization operates on robust, cloud-based systems rather than individual dependency, enabling scalability, continuity, transparency, and operational efficiency across multiple business divisions.

Key Responsibilities

  1. Group-Wide Systems & Cloud Architecture
  2. Design and maintain centralized cloud-based systems.
  3. Ensure all documents are securely uploaded, categorized, version-controlled, and access-controlled.
  4. Cover HR, finance, permits, accreditations, certifications, bidding documents, and reports.

  5. Enforce standardized naming conventions and documentation structures.

  6. System Continuity & Institutional Knowledge Protection

  7. Eliminate dependency on individuals for system knowledge.
  8. Develop SOPs and system documentation.

  9. Ensure zero data loss during employee turnover.

  10. Internal Enforcement, Training & Compliance

  11. Train staff on system usage.
  12. Monitor compliance and enforce corrective actions.

  13. Oversee weekly system updates.

  14. Server, POS & International Developer Coordination

  15. Coordinate with internal teams and external developers (China, India, others).
  16. Diagnose server, synchronization, and logic issues.

  17. Translate business requirements into technical solutions.

  18. Application & Platform Development Oversight

  19. Oversee development of internal and customer-facing applications.
  20. Ensure scalability, security, and cost efficiency.

  21. Review system architecture and flag design risks.

  22. Websites & Digital Presence Management

  23. Maintain and update all company websites.
  24. Ensure accuracy, security, and consistency of digital content.

Required Technical Skills & Languages

Programming Languages:

- Python (required)

- JavaScript (required)

- SQL (required)

- Java or Kotlin (preferred)

- PHP (preferred)

Server & Infrastructure:

- Linux server administration (required)

- Web servers: Nginx / Apache

- Cloud platforms: AWS, Google Cloud, or Microsoft Azure

Web & App Development:

- HTML5 / CSS3

- JavaScript frameworks (React, Vue, or similar)

- REST API design and integration

- Mobile application coordination (Android / iOS)

Databases & Systems:

- MySQL / PostgreSQL

- NoSQL basics (MongoDB or similar)

- Version control (Git)

Other:

- Cybersecurity fundamentals

- Experience with POS systems and IoT platforms preferred

Qualifications & Experience

  • Degree in Computer Science or related field.
  • Experience managing IT systems for multi-division organizations.
  • Strong analytical, organizational, and communication skills.
