The Receptionist will be responsible for managing front desk operations across two sites. This role requires a high level of professionalism, attention to detail, and excellent customer service skills. The Receptionist will coordinate VIP guest arrivals, handle hotel bookings, and manage internal room reservations for both sites.

Responsibilities:

Front Desk Operations (GBF & Exxa Sites)

  • Greet and assist employees, visitors, and clients with courtesy and professionalism.
  • Manage incoming calls, emails, and inquiries; route them to appropriate departments.

  • Maintain visitor logs, issue visitor passes and enforce security protocols.

  • Ensure reception areas are clean, organized, and always welcoming.

VIP Coordination

  • Liaise with internal teams to ensure smooth and personalized VIP experiences.

  • Prepare welcome kits and ensure all arrangements are in place for VIP visits.

  • Assist VIPs Carpool Itinerary – Supported by 3rd Party Vehicle Team

Hotel and Travel Bookings

  • Arrange hotel accommodations and transportation for VIPs and guests.

  • Maintain relationships with preferred hotels and travel service providers.

  • Track booking expenses and submit reports to the Admin Manager.

Room Reservation Management (GBF & Exxa)

  • Manage booking schedules for meeting rooms and common areas at both sites.
  • Coordinate with departments to ensure availability and proper usage.

  • Maintain a reservation system or tracker and update it regularly.

Administrative Support

  • Assist with courier services, mail handling, and other admin tasks.

  • Support internal events and meetings as needed.

  • Provide general administrative assistance to the Admin Manager and team.

Qualifications:

  • Minimum 1–2 years of experience as a receptionist or front desk officer, preferably in a BPO or corporate setting.

  • Strong verbal and written communication skills.

  • Excellent organizational and multitasking abilities.

  • Proficient in MS Office and hotel/travel booking platforms.

  • Willing to work on a 24/7 shifting schedule, including weekends and holidays.

  • Professional appearance and customer service orientation.

  • Must be willing to work in the office at Bridgetowne, Quezon City
  • Must be willing to work during US time zone

Preferences:

  • Experience handling VIPs and executive-level guests.

  • Familiarity with hotel booking systems and travel coordination.

  • Ability to work independently across multiple locations.

  • Knowledge of room reservation systems or scheduling tools.
