Job description:

wetrnd. is looking for a driven and detail-oriented Office Admin Assistant to provide top-level administrative support to our executive team. If you're organized, proactive, and can thrive in a fast-paced environment, we'd love to meet you

Main Responsibilities

1. Administrative Support:

  • Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
  • Screen and prioritize emails, phone calls, and visitors to determine appropriate action.
  • Prepare and edit correspondence, presentations, and other documents.
  • Coordinate executive team meetings, agendas, materials, and follow-ups on action items.
  • Handle confidential information with the highest level of discretion and professionalism.

2. Information Management:

  • Conduct research and compile data to assist in preparing reports and presentations.
  • Organize and maintain executive files and records for easy access and accuracy.
  • Support report preparation through formatting, proofreading, and editing.

3. Communication Liaison:

  • Act as the primary point of contact for internal and external stakeholders on behalf of the executive team.
  • Coordinate communication between executives, departments, clients, and external partners.
  • Draft, review, and distribute professional communications on behalf of executives.

4. Project Coordination:

  • Assist with planning and executing special projects and events, including logistics and follow-ups.
  • Track project timelines, deliverables, and progress.
  • Provide support for ad-hoc projects and initiatives as required.

5. Office Management:

  • Oversee day-to-day office operations to ensure smooth workflows.
  • Manage office supplies, equipment, and coordinate maintenance and repairs.
  • Assist with onboarding new team members and provide general support to staff.

Qualifications

  • Fresh graduates are encouraged to apply
  • Excellent communication skills in English (and local language), both oral and written.
  • Proficiency in Mandarin is a plus; ability to speak and understand Mandarin is an advantage.
  • Bachelor's degree in Business Administration, Communications, or related fields.
  • Pleasing personality: confident, friendly, and approachable.
  • Ability to thrive in a fast-paced environment and quickly learn new skills.
  • Willing to work in a shifting schedule and on weekends if needed.
  • Must be willing to work onsite in Ortigas City.
