Job Summary

The Administrative Staff provides day-to-day administrative and clerical support to ensure smooth office operations. This role is responsible for document management, coordination of office activities, and general administrative tasks while maintaining efficiency, accuracy, and professionalism in support of internal stakeholders.

Key Responsibilities / Job Scope1. Office Administration & Support

  • Perform general administrative duties including filing, document control, data entry, and record maintenance.
  • Manage incoming and outgoing correspondence (emails, calls, deliveries).
  • Maintain office supplies inventory and coordinate procurement requests.
  • Ensure office facilities are clean, organized, and functional.

2. Document & Records Management

  • Prepare, organize, and maintain company documents such as contracts, memos, reports, and internal forms.
  • Ensure proper filing (physical and digital) and confidentiality of records.
  • Assist in document tracking, archiving, and retrieval.

3. Coordination & Scheduling

  • Coordinate meetings, appointments, and travel arrangements as required.
  • Prepare meeting rooms, agendas, and minutes of meetings.
  • Support internal events, trainings, and company activities.

4. Administrative Support to Departments

  • Provide administrative assistance to HR, Finance, Operations, or other departments as needed.
  • Assist in processing forms related to employment, procurement, and internal requests.
  • Follow up on approvals and documentation requirements.

5. Vendor & Service Provider Coordination

  • Liaise with suppliers, couriers, building administration, and service providers.
  • Assist in monitoring service contracts such as office maintenance, cleaning, and security.
  • Support vendor accreditation and documentation.

6. Compliance & Administrative Reporting

  • Assist in ensuring compliance with internal administrative policies.
  • Prepare basic administrative reports (attendance summaries, office expenses, inventory lists).
  • Support audits by providing required administrative documents.

QualificationsEducational Background

  • Must have a Bachelor's Degree
  • Vocational or associate degrees with relevant experience may be considered

Experience

  • 1–3 years of administrative or clerical experience preferred
  • Fresh graduates with strong organizational skills may be considered
  • Experience in corporate, shared services, or office environments is an advantage
