Administrative and Operations Assistant

This is a remote position.
Schedule: Monday to Friday, 8:00 AM – 3:00 PM (NZST)
Join a growing, family-owned sales organization that's focused on driving results and elevating operational excellence. This established business has a small, high-performing sales team of three professionals and uses modern tools like HubSpot CRM and NetSuite ERP to stay efficient. They already work successfully with offshore talent and are now looking for a proactive professional to support daily operations and strengthen sales performance.
Responsibilities
Conduct daily one-on-one accountability meetings with sales team members
Lead morning check-ins to review prior achievements, set priorities, and plan activities
Track and monitor KPIs to ensure sales targets are met
Manage multiple inboxes and handle team correspondence
Draft professional emails and business communications
Execute lead generation activities and make outbound calls for appointments
Provide comprehensive administrative and sales operations support
Assist with quote preparation using NetSuite ERP (training provided)
Maintain organized records, follow-ups, and ensure no tasks are overlooked
Requirements
Excellent verbal and written communication skills
Experience with CRM systems (HubSpot highly preferred)
Strong background in administration or operations support
Ability to work during New Zealand business hours for daily check-ins
Professional phone manner and confidence in making outbound calls
Strong organizational skills and attention to detail
Ability to manage multiple priorities and support several team members
NetSuite experience is a plus (training provided)
Self-motivated, proactive, and able to work independently
