Position Overview

We are seeking a highly organized, detail-oriented Virtual Assistant to support our Injury Law Firm with administrative, client communication, and case-management tasks. The ideal candidate must be proactive, reliable, and capable of handling sensitive information with professionalism and confidentiality. Prior experience in legal support, personal injury processes, or customer service is an advantage.

Key Responsibilities

Client Communication & Intake

· Handle inbound calls, emails, and messages from clients, prospects, and partners.

· Conduct initial client intake, gather essential case details, and document information accurately.

· Schedule consultations, follow-ups, and meetings for attorneys and case managers.

· Provide timely updates to clients regarding case status or required documentation.

Administrative Support

· Manage calendars, set appointments, and coordinate schedules.

· Prepare, format, and organize legal documents and case files.

· Maintain digital filing systems to ensure accuracy, confidentiality, and easy retrieval.

· Assist in managing email inboxes and routing messages to the appropriate team members.

Case Management Assistance

· Assist case managers in collecting medical records, police reports, and other supporting documents.

· Track important deadlines and ensure timely follow-through of required case tasks.

· Update case management software with relevant notes, documents, and progress updates.

· Coordinate communication with insurance companies, medical providers, and other third parties as directed.

Documentation & Data Entry

· Accurately encode and organize case-related information into various systems.

· Prepare summaries, follow-up lists, and case timelines as needed.

· Review documents for accuracy before submission or attorney review.

General Support

· Help with research tasks and information gathering.

· Assist with firm marketing tasks (basic social media updates, posting announcements, etc.) as needed.

· Perform administrative projects assigned by attorneys or case managers.

Qualifications

· Experience as a Virtual Assistant, Legal Assistant, or Customer Support role preferred.

· Prior work with personal injury or law firms is an advantage but not required.

· Strong verbal and written communication skills.

· Excellent organizational and time-management skills.

· High attention to detail and ability to work with sensitive information confidentially.

· Comfortable using legal CRM/case management tools (e.g., Filevine, Clio, MyCase).

· Proficiency in Microsoft Office, Google Workspace, and virtual communication tools.

· Ability to work independently and meet deadlines in a fast-paced environment.
