About the Role

Transpeed Communications is looking for a highly organized and detail-oriented Executive Assistant to support our client in delivering exceptional patient care and brand excellence. This is a full onsite role, requiring your presence at the workplace to provide direct administrative, clinical, and marketing support. You will play a key part in ensuring daily operations run smoothly and that both patients and providers experience seamless, high-quality service.

Key Responsibilities
  • Review and update patient records accurately.
  • Input, verify, and maintain patient demographics, medical history, and visit notes.
  • Assist physicians with pre-charting and documentation.
  • Process medication refill requests in accordance with physician protocols.

  • Manage scheduling, rescheduling, and cancellations.

  • Confirm appointments and send reminders to patients.
  • Handle patient intake information via calls, messages, or telehealth platforms.
  • Ensure patients receive a seamless and personalized care experience from inquiry to follow-up.

  • Assist in updating SOAP notes and encounter documentation.

  • Ensure proper filing of lab results, imaging, and referrals within the EMR.
  • Prepare the physician for patient visits with updated charts and records.

  • Assist in managing social media posts and online updates aligned with the brand's tone of luxury and wellness.

  • Support blog content and newsletter coordination as needed.
  • Track and organize patient feedback and testimonials to support brand storytelling and continuous improvement.

Qualifications
  • Bachelor's degree preferred; a background in Nursing or Allied Health fields is an advantage.
  • Proven experience as a Virtual Assistant or Medical Administrative Assistant.
  • Excellent communication skills in English — both written and verbal.
  • Knowledge of EMR/EHR systems and medical documentation is an advantage.
  • Proficient in Microsoft Office and Google Workspace tools.
  • Strong ability to multitask, stay organized, and work independently in a fast-paced environment.
