The Records Supervisor is responsible for organizing, maintaining, and safeguarding all

physical and digital company records—excluding highly confidential HR files such as employee

201 files. This role ensures proper documentation processes are in place, supports department

needs for easy access to records, and drives compliance with company and legal filing

requirements.

DUTIES AND RESPONSIBILITIES

A. Records Organization & Maintenance

● Establish and maintain a centralized and structured filing system (digital and physical) for

all company departments.

● Oversee accurate indexing, labeling, and archiving of documents.

● Ensure secure and logical storage of historical and active files.

B. Document Control & Access

● Monitor document movement logs and control access to sensitive files.

● Coordinate with department heads to ensure correct document filing and retrieval

practices.

● Protect integrity and security of records from unauthorized access or loss.

C. Digital Records Management

● Implement and manage electronic filing systems (e.g., cloud storage, Google

Workspace).

● Assist departments in digitizing physical documents when necessary.

● Perform regular backups and updates of records databases.

D. Inventory and Logistics Documentation

● Organize and file delivery receipts, purchase orders, and stock movement logs

● Coordinate with inventory and procurement staff to ensure accuracy of documentation

E. Creative and Marketing Materials

● Maintain digital storage of approved branding assets, campaign files, and marketing

materials

● Ensure proper versioning and access tracking

F. Administrative Support

● Support various departments with recordkeeping needs (except HR 201 files).

● Track and update logs of contracts, memos, communications, and project files.

● Conduct quarterly audits to check accuracy and completeness of files.

QUALIFICATIONS:

● Bachelor's degree in Library and Information Science, Office Administration, Records

Management, or a related field.

● At least 2 years of experience in a similar records management or administrative support

role.

● Familiarity with data privacy policies and document classification.

● Proficiency in Google Workspace, MS Office, and basic cloud storage tools.

● Strong attention to detail and organizational skills.

● Trustworthy, discreet, and able to manage access-sensitive documents appropriately.
