Job Summary:

We are looking for a highly organized and detail-oriented Administrative Assistant to support our operations in delivering UBS (U Business Solutions) financial services to micro, small, and medium enterprises (MSMEs). This role is critical in ensuring smooth day-to-day activities, client coordination, document management, and administrative support to area managers and the multi-functional selling team (MFST) for PSS (Private Sector Services). The MFST are composed of PSS director, area managers, product managers specific under the UBS. Products under UBS include payroll, Pay1st Collection and bills payment, VISA prepaid debit cards, Outbound commercial direct to bank (Terrapay), QRPH Payment Solutions.

Key Responsibilities:

-Assist with coordination with stakeholders in the processing of UBS payroll. This includes coordinating with treasury department for the confirmation on the cash in of the payroll/salaries, coordinating with payroll partners on the payroll disbursement file and other reconciliation process that the payroll process may require.

-Manage the CRM tool Fresh Sales as the main software for the merchant acquisition goals of area managers.

-Assist in the administrative task of setting up MDR (merchant discount rate) for QRPH payments under Pay1st Module. This also includes assistance in the onboarding of merchants in UBS

-Maintain and update client records, memorandum of agreements and other contracts ensuring accuracy and confidentiality in handling sensitive financial information.

-Manage calendars, schedule client meetings, and coordinate field staff logistics for MSME engagements.

-Respond to client inquiries via phone, email, or in-person, and route issues to the appropriate team members.

-Organize digital and physical filing systems for financial documents, reports, and correspondence.

-Prepare internal reports, summaries, and presentations for team meetings or external partners. This includes actual volume and revenue after end of month generated under the PSS.

-Support the coordination of events, training sessions, or workshops for MSME clients.

Preferred Qualifications:

-Experience working with or supporting micro or small business clients.

-Familiarity with the financial services landscape for MSMEs in the Philippines.

-Knowledge of basic financial services products such as commercial payments, international/domestic remittance or regulatory requirements (e.g., KYC, AML).
