Job Function
To provide support for the Partner by providing executive-level administrative support by providing clerical support, receiving clients and visitors, arranging travel and correspondence, and scheduling meetings.
Main duties and accountabilities
Attendance, Meetings and Schedules
- Ensures the effective coordination of the Partner's schedule by arranging appointments, meetings, travel and accommodation
- Takes all incoming calls and handles all messages for and in behalf of the Partner
- Monitors the attendance of group members by maintaining staff location sheet
- Assists/entertains clients and guests of the Group.
- Arranges the schedule and admin activities pertaining to PICPA and other professional and personal affiliations of the Partner.
- Reminds the timely submission of the staff's Time Reports (TRs)
Statement of Account (SOA) and Collection
- Encodes Engagement Letter proposals for prospective clients for Partner's review and approval.
- Prepares and submits Requests for SOA to Accounting
- Monitors billing submission and collection status
- Updates Billing and Collection Summary
Record Keeping
- Executes photocopying and requisition for binding of proposals
- Prepares/coordinates documents and reports for transmittal or delivery to Client or regulatory bodies
- Handles and ensures efficient records keeping. Ensures that all files are properly labelled, updated, segregated, and easily retrievable
Management Reporting
- Encodes drafts of memos / letters / correspondences / reports / proposals, etc. as prepared by Partner and Team Members.
Administration
- Handles the petty cash fund and replenishments of the Group.
- Responsible for the maintenance of office equipment of the Group.
- Prepares liquidation reports/AFL for the Partner.
- Handles the storage of all essential and confidential documents of the Partner.
- Performs other office administrative functions as may be assigned from time to time.
Job Qualification:
- Candidate must have Bachelor's degree in business, Admin, Secretariat
- Knowledgeable of Microsoft Offices
- Excellent communication and presentation skills
- Willing to work onsite in MAKATI everyday
- Represent the Firm in a professional manner at all times through punctuality, appearance and presentation.
