Position Overview
We are seeking a highly organized, detail-oriented, and proactive Call Center & Administrative Support Specialist to join our team. This role is critical in ensuring smooth day-to-day operations by supporting scheduling functions, patient communications, audits, and various administrative tasks. The ideal candidate thrives in a fast-paced environment, communicates effectively, and can multitask while maintaining accuracy and professionalism.
Key Responsibilities
Call Center & Scheduling
- Answer incoming calls from patients and assist with scheduling, rescheduling, and confirming appointments.
- Conduct outgoing calls for appointment reminders, follow-ups, and patient outreach.
- Coordinate with clinical staff and team leads for accurate scheduling and efficient time management.
- Handle patient inquiries professionally and courteously.
- Update patient records and appointment notes accurately in the scheduling system.
Audits & Quality Checks
- Assist in performing chart or scheduling audits to ensure accuracy and compliance.
- Identify scheduling errors, missed appointments, or documentation gaps and communicate them to the appropriate team members.
- Maintain confidentiality and adhere to all HIPAA and company compliance requirements.
Administrative Support
- Provide general administrative assistance to management and clinical teams.
- Support daily office operations, including data entry, reporting, and record management.
- Assist with team communication, updates, and internal follow-ups.
- Manage and track scheduling-related metrics or logs as requested.
- Collaborate with other departments to ensure smooth workflow and communication.
- Experience: 1–3 years in a healthcare call center, scheduling, or administrative support role (preferred).
- Education: High school diploma or equivalent required; associate or bachelor's degree preferred.
- Technical Skills: Proficient in Microsoft Office Suite (Outlook, Excel, Word) and EMR/scheduling systems; strong data entry and documentation accuracy.
- Communication: Excellent verbal and written communication skills.
- Organization: Strong multitasking and time management abilities; attention to detail is essential.
- Professionalism: Reliable, punctual, and able to work independently with minimal supervision.
