About Beauty Aesthetics

Beauty Aesthetics is a medical aesthetics clinic focused on safe, effective, and personalized treatments — including injectables, laser hair removal, facials, and advanced skincare. We're growing and are looking for a detail-oriented, organized, and friendly Back-End Customer Service / Patient Care Coordinator to support our team and provide an amazing experience behind the scenes for our patients.

Role Overview

This is a back-end / admin-based position (non-clinical). You'll support bookings, patient communication, and daily operations so the clinic runs smoothly.

Key Responsibilities

  • Handle incoming calls, emails, DMs, and online inquiries in a professional, warm manner
  • Book, reschedule, and confirm appointments using our booking/EMR system
  • Manage patient files, forms, and consents; ensure charts are complete and accurate
  • Support online leads from ads (calling/texting/emailing to book consultations)
  • Send appointment reminders, follow-ups, and basic pre/post-care instructions (as directed by the nurse/medical team)
  • Maintain and update schedules, waitlists, and cancellations to keep the day optimized
  • Assist with billing, payment records, and receipts as needed
  • Coordinate with the clinical team to ensure rooms, supplies, and charts are ready (virtually)
  • Help with Google reviews, client satisfaction follow-ups, and basic admin tasks
  • Protect patient privacy and confidentiality at all times

Qualifications

  • Previous experience in customer service, medical office, spa/clinic reception, or admin is an asset
  • Strong phone, chat, and email communication skills; friendly, calm, and professional tone
  • Comfortable explaining basic information about services (training provided)
  • Strong organization, attention to detail, and time management
  • Able to handle a high volume of messages and calls while staying composed
  • Tech-savvy and comfortable using booking systems, EMR, email, and spreadsheets
  • Reliable internet connection and quiet work environment
  • Ability to work evenings and/or weekends based on clinic hours (Canada time zone)

Compensation & Benefits

  • Salary: 35,000 – 50,000 PHP per month (based on experience and performance)
