OverviewWe are hiring a Senior Program Manager / ClickUp Lead to partner directly with the VP of Marketing & Branding in running the operating system that drives marketing delivery. This is a high-ownership role at the intersection of program management, marketing operations, and systems architecture.
Success in this role means no one ever has to ask, "What's the status?" because you've already built dashboards, documented outcomes, and delivered reporting that keeps leaders and teams fully briefed. You'll set up ClickUp as the single source of truth, protect the VP's focus, and enable smooth cross-team execution across CRM, website, automation, corporate communications, and events.
This is not about managing tasks — it's about building systems, driving accountability, and ensuring ROI visibility across marketing initiatives.

Your work will directly empower the VP to operate at a strategic level, while you ensure flawless execution underneath. You'll shape how marketing runs, not just manage it, with full authority over ClickUp design, intake, and operating cadence.
Key Responsibilities (Outcome-Driven)- Program Management / COS-Lite: Translate strategy into epics, milestones, and acceptance criteria; maintain roadmaps; run cadence meetings (planning, stand-ups, retros).
- ClickUp Leadership: Architect and administer ClickUp (taxonomy, templates, automations, permissions); enforce discipline and self-serve status reporting.
- Project Workstreams: Drive cross-team delivery for CRM rollout, website rebuild, automation, communications, and events.
- Resource and ROI Management: Maintain capacity plans, recommend rebalancing, and track throughput and ROI with quarterly impact snapshots.
- Documentation and Knowledge: Ensure briefs, SOPs, and decision logs are always up to date; prep VP with concise one-pagers for leadership meetings.
- AI Augmentation: Use AI for SOP drafting, QA checklists, notes, dashboard queries, and risk summaries.
- Standardize ClickUp instance (spaces, folders, fields, automations) within 30 days.
- Launch dashboards (Executive, Pillar Leads, Individual Contributors) and live intake/triage forms by Day 30.
- Achieve at least 75 percent documentation coverage by Day 60; 90 percent by Day 90.
- Deliver global ClickUp templates (Project, Epic, Campaign, Event, Issue) by Day 60.
- Eliminate orphan tasks and activate resource view with capacity alerts by Day 60.
- Publish a weekly one-pager briefing VP on priorities, risks, and status by Day 90.

RequirementsQualifications (Must-Haves)
- 5 to 8+ years of program/project management in a marketing environment
- Deep ClickUp admin experience (certification within 60 days if not already)
- Proven rollout of work-management tools across hybrid/offshore teams
- Shipped at least three of: CRM rollout, website rebuild, automation, communications, events
- Strong capacity planning, vendor coordination, and retrospective practices
- Excellent English communication — clear, kind, and direct
- Mortgage/financial services familiarity
- Tools: Total Expert, Act-On, Salesforce/Jungo, Kajabi, Freshdesk, Maxa, Wistia
- Comfort with analytics (cycle time, throughput, forecast, burn-up)
