Position Overview

The Corporate Affairs Coordinator serves as the primary support and liaison to the Head of Corporate Affairs, ensuring efficient management of departmental operations and regulatory coordination. The role covers administrative, compliance, documentation, and communication functions to ensure smooth interdepartmental collaboration and regulatory readiness, particularly for submissions and coordination involving Mandarin-speaking stakeholders

Job Responsibilities1. Executive Support

  • Provide direct administrative and executive assistance to the Head of Corporate Affairs
  • Manage and coordinate calendars, appointments, meetings, and travel arrangements
  • Prepare meeting minutes, action plans, and progress reports for internal and external coordination

2. Project Monitoring & Coordination

  • Track departmental projects and compliance submissions to ensure timely completion prior to endorsement to regulators (e.g., PAGCOR)
  • Coordinate with compliance teams (Land-Based, Integrated Resort, Online IGO, and other units) for documentation, status updates, and review schedules
  • Maintain accurate project trackers and follow up on action items assigned to stakeholders

3. Document & Record Management

  • Maintain and organize departmental files, regulatory correspondences, and official documentation
  • Assist in drafting, formatting, and proofreading official communications, reports, and compliance submissions
  • Ensure confidentiality, integrity, and proper handling of sensitive regulatory materials

4. Stakeholder Communication

  • Serve as liaison between the Head of Corporate Affairs and internal or external stakeholders, including Mandarin-speaking counterparts
  • Facilitate accurate communication, correspondence, and translations in both English and Mandarin

5. Administrative Support

  • Support logistical arrangements for department meetings, audits, and compliance reviews
  • Handle procurement requests, expense reports, and coordination with administrative offices
  • Perform other related tasks as assigned by the Head of Corporate Affairs

  • Language Proficiency: Fluent in English and Mandarin (verbal)

  • Accuracy and responsiveness of Mandarin–English translations and correspondence

4. Document & Record Management (10%)

  • Proper filing and organization of regulatory documents
  • Efficient retrieval during audits or document requests
  • Target:
  • 100% document retrieval within 5–10 minutes
  • Zero audit findings related to documentation

5. Confidentiality & Reliability (15%)

  • Compliance with confidentiality protocols
  • Timely completion of sensitive assignments
  • Target:
  • Zero confidentiality breaches
  • More than 95% of confidential tasks completed on or before deadline

6. Departmental Efficiency & Process Support (15%)

  • Timeliness and quality of administrative outputs (reports, memos, templates, letters)
  • Contribution to workflow or process improvements

  • More than 90% of outputs submitted before deadline
  • At least one process improvement initiative per evaluation period

Summary of Role Impact

The Corporate Affairs Coordinator plays a critical role in maintaining the operational efficiency and regulatory readiness of the Corporate Affairs Department. Through effective project tracking, documentation, stakeholder communication, and executive support, the role ensures compliance alignment, confidentiality, and smooth coordination across departments and regulators
