Position Overview

The Corporate Affairs Coordinator serves as the primary support and liaison to the Head of Corporate Affairs, ensuring efficient management of departmental operations and regulatory coordination. The role covers administrative, compliance, documentation, and communication functions to ensure smooth interdepartmental collaboration and regulatory readiness, particularly for submissions and coordination involving Mandarin-speaking stakeholders

Job Responsibilities:

  1. Executive Support

  2. Provide direct administrative and executive assistance to the Head of Corporate Affairs

  3. Manage and coordinate calendars, appointments, meetings, and travel arrangements
  4. Prepare meeting minutes, action plans, and progress reports for internal and external coordination

  5. Project Monitoring & Coordination

  6. Track departmental projects and compliance submissions to ensure timely completion prior to endorsement to regulators (e.g., PAGCOR)

  7. Coordinate with compliance teams (Land-Based, Integrated Resort, Online IGO, and other units) for documentation, status updates, and review schedules
  8. Maintain accurate project trackers and follow up on action items assigned to stakeholders

  9. Document & Record Management

  10. Maintain and organize departmental files, regulatory correspondences, and official documentation

  11. Assist in drafting, formatting, and proofreading official communications, reports, and compliance submissions
  12. Ensure confidentiality, integrity, and proper handling of sensitive regulatory materials

  13. Stakeholder Communication

  14. Serve as liaison between the Head of Corporate Affairs and internal or external stakeholders, including Mandarin-speaking counterparts

  15. Facilitate accurate communication, correspondence, and translations in both English and Mandarin

  16. Administrative Support

  17. Support logistical arrangements for department meetings, audits, and compliance reviews

  18. Handle procurement requests, expense reports, and coordination with administrative offices
  19. Perform other related tasks as assigned by the Head of Corporate Affairs

Required Skills

  • Language Proficiency: Fluent in English and Mandarin (verbal)
  • Organizational Skills: Strong ability to manage multiple tasks, prioritize work, and meet deadlines
  • Communication Skills: Excellent interpersonal and written communication skills
  • Confidentiality & Integrity: High discretion and ethical handling of sensitive matters
  • Technical Proficiency: MS Office (Word, Excel, PowerPoint), Google Workspace, document management systems
  • Attention to Detail: Strong documentation, analytical, and proofreading skills
  • Reliability: Consistent follow-through on assignments and commitments
  • Coordination & Tracking: Experience in project monitoring and executive reporting
