The Event Coordinator will be responsible for planning and organizing events that enhance company visibility, build community connections, and support our marketing objectives. Events may include driver-partner onboarding sessions, promotional events, sponsorship activities, and local community engagement efforts.

Key Responsibilities:

Event Planning & Coordination:

  • Plan, coordinate, and execute a range of events, including driver-partner meetups, promotional events, community outreach activities, and special projects
  • Develop annual event calendar that is aligned with company brand goals and objectives driving growth and company engagement

Brand Representation and Engagement

  • Represent the company at events and foster positive experience for attendees and or participants at including users, driver-partners, and media representatives.
  • Management and coordination of brand ambassadors during events not limited to event information dissemination,setting KPIs and monitoring of performance

Event Logistics & Coordination

  • Source and negotiate contracts with venues and several other vendors to ensure cost-effective solutions that meet quality standards and aligned with company brand
  • Create detailed event project plans, timelines, and checklists, coordinating with cross-functional teams to ensure timely execution.
  • Develop contingency plans to address potential issues, ensuring that all events can adapt to last-minute changes without compromising quality.

Cross Functional Collaboration

  • Work closely with the marketing team and management to ensure events messaging aligns with the overall brand strategy and digital assets (flyers, promotional material) are consistent with the Xpress brand.
  • Ensure timely and effective deliverables of marketing collateral during events

Performance Reporting:

  • Gather event performance metrics and attendees feedback to evaluate the success of each event and provide detailed reports to the management
  • Utilized gathered data for assessment and analysation of effectiveness of events in achieving business objectives and informed future planning.
  • Track and report event expenditures and is responsible for budget reconciliation to ensure efficient use of resources and identity areas for cost savings.

Qualifications

  • Bachelor's degree in Marketing, Communications, Hospitality or any related field
  • Proven experience in event planning ideally from marketing company, technology, transportation or any consumer focused industries
  • Strong project management skills with the ability to prioritize and manage multiple events under tight deadlines
  • Excellent communication, negotiation, and interpersonal skills, with fluency in English and Filipino (additional local languages are an advantage).
  • Ability to work effectively in a fast-paced, high-growth environment.
  • Capable of working independently and able to deal with contract negotiations with vendors
  • Strong social media proficiency and understanding of digital marketing trends
  • Willingness to work flexible hours including weekends and evenings during events period
