Executive Assistant to the CEO

Key Responsibilities

1. Executive Support

  • Manage and maintain the CEO's calendar, including scheduling meetings, appointments, and travel.
  • Prepare and organize materials for meetings, presentations, and reports.
  • Handle confidential information with discretion and professionalism.
  • Screen and manage phone calls, emails, and other communications on behalf of the CEO.
  • Track and follow up on pending tasks, action items, and deadlines.

2. Communication and Coordination

  • Serve as a key point of contact between the CEO and internal/external stakeholders.
  • Draft, proofread, and edit correspondence, memos, and reports.
  • Coordinate logistics for executive meetings, board meetings, and company-wide events.
  • Take and distribute minutes of meetings as needed.

3. Operational Support

  • Assist in the preparation and monitoring of budgets, expenses, and reimbursements related to the CEO's office.
  • Liaise with other departments for cross-functional support as directed by the CEO.
  • Support strategic projects and initiatives by tracking progress and ensuring timely execution.

4. Travel and Event Planning

  • Arrange domestic and international travel plans, including flights, accommodations, and itineraries.
  • Plan and coordinate offsite meetings, retreats, and engagements for the CEO.
Qualifications
  • Bachelor's degree in Business Administration or related field preferred.
  • Proven experience as an Executive Assistant, Administrative Officer, or in a similar role (minimum of 3–5 years).
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • Proficient in Microsoft Office Suite and online collaboration tools (e.g., Google Workspace, Zoom, Slack).
  • High level of discretion and integrity.
