Digital Asset Management (DAM) and Claims Librarian

Overview of Responsibilities:

The Librarian will be responsible for managing digital assets, claims documentation, and reference materials within the organization. This position encompasses two primary areas: Digital Asset Management (DAM) operations and Claims Library management. The role aims to ensure regulatory compliance, operational efficiency, and effective cross-functional collaboration across pharmaceutical brands.

DAM Librarian Responsibilities:

1. Digital Asset Management Operations

  • Manage the daily operations of JJIM's enterprise DAM system, including Adobe Experience Manager (AEM).
  • Upload, tag, categorize, and organize digital assets such as images, videos, promotional materials, and scientific content.
  • Validate uploaded file packages/assets for completeness and metadata accuracy.

2. Governance & Compliance

  • Enforce digital asset governance policies aligned with regulatory standards (e.g., FDA, EMA).
  • Collaborate with legal, regulatory, and medical teams to secure necessary approvals prior to asset release.

3. Metadata & Taxonomy Management

  • Develop, maintain, and optimize taxonomies, controlled vocabularies, and metadata schemas specific to pharmaceutical content (e.g., therapeutic areas, HCP/patient audiences).

4. Cross-Functional Collaboration & User Support

  • Serve as the main point of contact for Brand Agencies regarding missing files and metadata requests.
  • Collaborate with marketing, medical, legal, and medical affairs teams to understand and fulfill asset needs.
  • Provide training and ongoing support to internal stakeholders on DAM system use, metadata standards, and workflows.

5. System Enhancement & Vendor Relations

  • Provide input on DAM system upgrades, integrations, and new features.

6. Reporting & Analytics

  • Generate reports on asset utilization, licensing, user engagement, and compliance metrics.
  • Leverage analytics to identify content gaps, usage trends, and opportunities for system and process optimization.

Claims Librarian Responsibilities

  • Validate claims and reusable text for accuracy within Veeva Vault Promomats or similar systems.
  • Add, update, and verify metadata associated with claims and reference materials.
  • Upload, link, and manage reference materials related to claims.
  • Ensure claims are compliant with applicable regulatory standards and internal policies.
  • Perform quality control (QC) procedures to maintain the accuracy and integrity of claims documentation.

Reference Librarian Duties

  • Manage reference materials to ensure their accuracy, accessibility, and compliance.

Support retrieval and updating of reference content, ensuring adherence to regulatory and internal standards

Qualifications

  • Proven experience with Adobe Experience Manager (AEM).
  • Familiarity with Veeva Vault Promomats or comparable content management platforms.
  • Deep knowledge of pharmaceutical industry regulations (FDA, EMA) and compliance standards.
  • Strong understanding of metadata, taxonomy, and workflow management.
  • Excellent communication skills for cross-functional collaboration and user training.
  • Analytical skills for generating and interpreting detailed reports on system performance and usage.
