Job Overview:

We are seeking a highly organized and proactive Administrative Staff to support the daily operations of our office. This role requires strong communication, multitasking, and organizational skills to assist in managing administrative tasks, office supplies, and general office functions to ensure smooth operations.

Key Responsibilities:

  • General Administrative Support: Provide day-to-day administrative support to staff, management, and executives as required.
  • Scheduling & Coordination: Manage and schedule meetings, appointments, and travel arrangements for the team or senior management.
  • Document Management: Organize and maintain office files, both physical and digital. Ensure that all company records are filed appropriately and accessible when needed.
  • Communication: Answer phone calls, respond to emails, and provide prompt responses to inquiries. Act as a point of contact for clients, suppliers, and other stakeholders.
  • Office Supplies Management: Monitor office supplies inventory and place orders as needed. Maintain and organize office supplies and equipment.
  • Data Entry & Record Keeping: Perform data entry tasks, including updating databases and maintaining records in accordance with company policies.
  • Reporting: Assist in the preparation of reports, presentations, and other documents. Compile and organize information as needed by management.
  • Client Interaction: Greet clients, visitors, and staff in a friendly and professional manner. Handle requests or direct them to the appropriate department.
  • Office Maintenance: Ensure that the office environment is well-kept, organized, and conducive to productive work.

Skills and Qualifications:

  • Education: High school diploma or equivalent (Associate's degree or higher preferred).
  • Experience: Previous experience in an administrative or office support role preferred, but not required.
  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with office management software is a plus.
  • Communication Skills: Strong verbal and written communication skills. Able to interact with colleagues, clients, and visitors professionally.
  • Organizational Skills: Excellent time management skills, attention to detail, and the ability to handle multiple tasks simultaneously.
  • Problem-Solving: Able to resolve office issues efficiently and proactively.
  • Team Player: A collaborative attitude and the ability to work effectively in a team environment.
