Job Purpose:

The Talent Branding and HR Records Associate is responsible for managing employee 201 files and ensuring that all HR records are complete, accurate, and properly organized. The role also supports employer branding initiatives to promote the company as an employer of choice.

Key Responsibilities:

HR Records Management:

  • Assist in filing, scanning, and organizing 201 files and other HR documents.
  • Follow up with employees who have incomplete 201 files to ensure submission of all required documents.
  • Maintain and update both physical and electronic HR records in compliance with company policies and labor regulations.
  • Monitor document expiration dates (licenses, certifications, trainings) and coordinate with employees to ensure timely updates.
  • Assist in onboarding and offboarding processes by ensuring that all necessary documentation is properly filed and scanned.
  • Prepare reports related to HR documentation, audits, and compliance as requested by management.
  • Ensure confidentiality and secure handling of all employee records.

Talent Branding:

  • Support employer branding strategies across social media, job portals, and other relevant channels.
  • Assist in recruitment marketing campaigns and internal communications to highlight the company's culture and employee experiences.
  • Participate in recruitment events, career fairs, and other talent engagement activities.
  • Collaborate with HR and Marketing teams to develop content for talent attraction initiatives.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, Marketing, or related field.
  • Prior experience in HR records management, preferably with handling 201 files, is an advantage.
  • Knowledge of HRIS systems and document management processes is preferred.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to follow up with employees proactively and maintain accurate records.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and social media platforms.
