Step into the Role

Be part of our client's team as an Administration Assistant (Legal) and support the smooth operation of personal injury cases. You will manage documents, liaise with clinics and insurers, arrange appointments, conduct conflict checks, open matters, and ensure accurate records-keeping legal processes organized and efficient.

Career Snapshot

Employment type: Project-based; 3 days a week, part-time (24 hrs a week)

Shift: Day shift, Weekends Off; 9 AM-6 PM ESDT, Tuesday-Thursday

Who You Are & What You Bring

  • 1 to 3 years of relevant experience

Your Responsibilities

  • Document retrieval
  • Liaise with medical clinics and insurance companies on request for information
  • Admin tasks
  • Arrange appointments for clinics (BD)
  • Open matters in Smokeball
  • Convert leads into matters
  • Complete new client checklists
  • Conflict checks
  • Create subfolders and save documents in accordance with naming and saving conventions
  • Draft authorities, cost agreements, and initial letters from automated precedents for operator to review
  • Schedule key dates: file reviews, statute limitations, etc.
  • Fill out matter details sections in Smokeball: client details, accident details, insurer details, treater details
  • Place relevant checklists on files (requests checklist)
  • Make requests via email or telephone to treaters for clinical records; insurers for claim files; government departments for FOI requests
  • Accurately record requests, invoices, and received records via internal checklist document
  • Notify office manager of incoming invoices, track and provide remission, and chase provision of records
  • Notify operators of receipt of records
  • Perform ASIC business, property, and name searches via CITEC or Infotrack
  • Liaise with operators via internal Smokeball messaging system or email
  • Tasks to be assigned via internal Smokeball communication or email
  • Split insurer claim files, agent files, response material
  • Arrange courtesy emails/messages to clients for reminders of conferences or medical appointments
  • Prepare medical chronology
  • Online research via social media: Instagram, Facebook, LinkedIn
  • Contact third parties to arrange meetings as part of business development
