Job Description
As an Administrative Assistant, you will handle data entry, manage inspection bookings, and maintain organized job files using cloud-based systems. Your role ensures seamless coordination and accurate documentation to support project efficiency and team communication.

The Qualifications We Seek
- 1-4 years of experience as an Administrative Assistant for international clients
- Previous experience in administration or office support (preferably in a construction, surveying, or related field)
- Strong data entry skills with attention to detail and accuracy
- Proficiency with cloud-based software and online platforms
- Excellent communication skills, both written and verbal
- Ability to manage time effectively and prioritize tasks
- Self-motivated and able to work independently while being part of a team
- Strong organizational skills and the ability to handle multiple tasks simultaneously
Your Daily Tasks
- Data entry and management of client and project information into cloud-based systems
- Book building inspections for clients and coordinate schedules with relevant staff
- Create new job files for incoming projects and ensure all relevant documentation is uploaded and organized
- Communicate with clients and staff as needed to ensure efficient project progress
- Maintain accurate records and assist with filing and archiving of documents
- Handle general administrative tasks, such as responding to emails, answering calls, and processing client requests
- Collaborate with building surveyors and certifiers to ensure smooth operation of the permitting and inspection process
