MAJOR RESPONSIBILITIES:

RECRUITMENT

  • Receives and checks the Manpower Requisition Form for job vacancies and endorses the same to HR Head for approval.
  • Posts approve vacancies at HR job portals.
  • Screens and shortlists applicants for vacancies basing on the qualifications and job description given by the requesting head.
  • Facilitates examination of applicants and conducts initial or behavioral interview of applicants.
  • Prepares Job Description, contracts and other recruitment documents. Forwards the same to HR Supervisor for 201 filing.
  • Gathers pre employment requirements and forwards the same to HR Supervisor after filing to 201 file.
  • Creates new employee's 201 file.
  • Routes and introduces newly hired.
  • Encodes newly hired profile accurately and timely to AMS.
  • Coordinates with the requesting Department Manager on status of vacancies.
  • Prepares recruitment reports and submits the same to the Supervisor and HR Head on a weekly basis.

BENEFITS:

  • Receives requests for government offices loans and endorses the same to HR Assistant for Benefits for processing. Monitors the same until loan amount are credited to concerned employees. Encodes government loans timely and accurately into the AMS.
  • Endorses government benefits claims documents to HR Assistant for Benefits for processing. Keeps track of the endorsed documents until benefits are credited to employees account and reimbursement documents are submitted to HR Assistant for Benefits.
  • Receives HMO requests and endorses the same to HMO in-charge.
  • Receives and reviews other benefits concerns and endorses the same to HR Assistant for benefits for processing of approval.
  • Coordinates with HR any incident reported. Conducts initial investigation of all incident reports.
  • Processes one- hub reports of dealership.

ADMIN:

  • Receives and timely processes all Maintenance Job Requests and endorse the same to concerned parties timely.
  • Timely encodes all Maintenance Job Requests to monitoring.
  • Monitors and give daily updates on schedule of all maintenance staff.
  • Closely monitors building facilities to ensure the safety of all employees.
  • Monitors cleanliness of all office areas, guard house, pantry, common areas (hall ways, lobby etc.) and main service road.
  • Monitors all repairs and maintenance concerns and supervises contractors as required.
  • Promptly reports to Admin Supervisor any concerns that would potentially hamper the timely delivery of maintenance services.
  • Ensures proper documentation of all requests and timely piling of all admin documents..
  • Acts as ISO department custodian.
  • Performs other tasks assigned by the Immediate Head and VP-Support Services
  • Conducts annual assets inventory. Timely reports and address annual asset inventory concerns.
  • Timely and accurately encodes newly purchased assets, and asset movement into the AMS.
  • Timely issues Accountability of all assets for issuance.
  • Timely  processes all requests received by the Admin and endorse the same to concerned parties timely.

OTHER HR MATTERS:

  • Receives and processes request for Certificate of Employment for clearance of HR head and signature of General Manager.
  • Prepares holiday memo and announces the same to all employees of dealership once approved by HR Head.
  • Encodes overtime and leave of dealership employees. Coordinates with HR Officer for Timekeeping and payroll for any payroll and timekeeping related concerns.
  • Endorses request for uniforms to HR Supervisor for processing.
  • Oversees the health and safety implementations of the dealership.
  • Attends to DOLE inspections when needed, with the guidance of HR Supervisor and HR Head.
  • Monitors probationary contracts of probationary employees of dealerships. Triggers reminders to HR Supervisor the preparation of HR documents.
  • Coordinates with HR Supervisor the annual appraisal of all dealership employees. Assists in the timely facilitation of annual performance appraisal.
  • Conducts exit interviews to separating employees not later than employee's last day of reporting to work.
  • Processes clearance of resigned employee. Triggered/Endorsed to HR Supervisor on the last working day of employee.
  • Keeps inventory of all uniforms. Processes and issues company uniform request of employees after approval of HR Head.
  • Releases last pay of dealership resigned employees.

REQUIREMENTS:

  • Graduate of at least 4 year business related course of Psychology graduate
  • 5 years experience in related field
  • Knowledge in HR and Labor laws.
  • Good communication skills
  • Knowledge in building administration
  • Must have considerable knowledge of planning and zoning
  • Ability to perform multi tasking
  • Must have the ability to communicate effectively both oral and written
  • Ability to work independently (minimal supervision)
  • Self-motivated; Sense of Urgency to take action
  • Computer Literate; Excel Program
