Overall Purpose of The Job

  • The Allotment Administrator is the one responsible for the processing of Filipino crew allotments and crew special payments.
  • Ensures that the allotment payrolls are computed accurately in the proper period and consistent with the approved allotment list sent by the Master of the vessel.
  • Ensures that regulatory contributions of seafarers in scope are paid and reported timely and accurately.

Key Responsibilities and Tasks

  • Ensures allotments are paid accurately and timely based on the requests sent by the seafarers onboard and that relevant deductions such as regulatory contributions and other adjustments are included in the final calculation of net payment to crew.
  • Process single payments as requested by seafarers.
  • Preparation and sending of fund request for allotments and single payments.
  • Monitoring, preparation and submission of fund request and processing of Final Balance of Wages.
  • Prepares the summary and arranges payments of special payments for assigned vessels such as, but not limited to, crew cash advances from client and emergency allotments.
  • Maintains records of allotment held, allottees with account numbers and returned allotments due to various reasons such as closed account, dormant account, mismatched items, invalid account numbers etc.
  • Maintains and updates control schedules for various peso cash and training advances extended to seafarers, as well as regulatory contributions paid for the seafarer that needs to be recovered from the crew.
  • Prepares journal entries for the summary of allotments, debit memos, single payments and adjustments.
  • Reconciles allotment related entries to general ledger accounts used by the allotment team.
  • Responsible with SSS, Philhealth and Pag-Ibig (HDMF) summary, registration of invoice to Shipsure Suite, payment and reports.
  • Sending of pay slips to vessel and crew.
  • Prepare Statement of Account as required by specific clients.
  • Respond to allotment related queries and follow-ups from the vessel, seafarers and allottees.
  • Sees to it that all important records in possession are orderly filed and kept up to date (physical and electronic copy as applicable).
  • Performs other tasks that may be assigned by superiors.
