What is your mission?

We are looking for a detail-oriented Client Billing Specialist to handle end-to-end billing processes for project-based services. You will manage client invoices, collaborate with project managers, ensure accurate billing, and support financial reporting. If you have experience with Deltek Vantagepoint or similar ERP systems and thrive in a fast-paced, deadline-driven environment, this role is for you.

You will provide the best service to our partner brands by performing these tasks:

  • Prepare, review, and process client invoices using Deltek Vantagepoint or similar ERP software.
  • Ensure accurate billing for Time & Expense, Fixed Fee, and Percentage Complete contracts.
  • Collaborate with project managers to resolve billing discrepancies and gather inputs.
  • Track project budgets, estimates, and billing milestones; update change orders as needed.
  • Monitor unbilled balances and Work In Progress (WIP) for timely billing.
  • Maintain compliance with client billing guidelines and internal financial policies.
  • Support revenue recognition, collections, and month-end close processes.
  • Assist with billing reports and financial analysis related to projects.
Who are we looking for?
  • Bachelor's degree in Accounting, Finance, or a related field.
  • Proven experience in client billing within a project-based services environment.
  • Experience with billing processes for architecture, engineering, or consulting firms preferred.
  • Hands-on experience with Deltek Vantagepoint or similar ERP systems (NetSuite, Oracle, Sage).
  • Understanding of Time & Expense, Fixed Fee, and Percentage-based billing methods.
  • Proficiency in Microsoft Excel (Intermediate) and MS Office applications.
  • Strong attention to detail, accuracy, and problem-solving skills.
  • Excellent communication and collaboration skills across departments.
  • Ability to manage multiple billing cycles and deadlines effectively.
