What is the job?

The Accounting Associate is responsible for organizing, uploading, and categorizing vendor invoices, as well as assisting with daily transaction reconciliation across multiple entities in a healthcare organization.

Responsibilities:

  • Monitor and manage AP inboxes for each entity and retrieve vendor invoices.
  • Upload and classify invoices into QuickBooks Online (QBO) for each respective entity.
  • Categorize and reconcile daily bank and credit card transactions.
  • Assist with monthly reconciliation of straightforward accounts.
  • Maintain organized digital records of invoices and transaction classifications.
  • Collaborate with the internal accounting team to ensure timely and accurate AP processing.
  • Communicate with internal stakeholders to clarify vendor charges as needed.

Qualifications:

  • Proficient in QuickBooks Online – set up vendors, track 1099, create invoices, etc.
  • Proficiency in Microsoft Office, especially Excel.
  • Clear and coherent in both written and verbal communication abilities, allowing effective interaction with colleagues, clients, and stakeholders, and the ability to clearly explain complex information.
  • Strong analytical thinking to identify issues, evaluate alternatives, and implement effective solutions to improve processes and resolve challenges efficiently.
  • Has a high level of integrity and professionalism when handling sensitive financial data, ensuring all information is kept confidential and complies with privacy regulations and company policies.
