Role Overview
We are seeking a highly organised, detail-oriented, and proactive Events Coordinator to manage our in-person events across Australia and the United Kingdom. This role involves full-cycle event coordination — from scouting and booking venues to executing events and conducting post-event reviews.
You will be responsible for ensuring events are delivered on time, within budget, and aligned with our brand and business objectives. The ideal candidate will have strong negotiation and communication skills, with a proven track record of managing successful events across multiple locations.
This is not a typical events role. You'll be the bridge between our Marketing and Operations teams, ensuring that events filled from paid ads, social media, and digital campaigns are seamlessly coordinated and flawlessly executed. You'll ensure Marketing provides the data you need to create the best schedule. From venue research and vendor coordination to tracking leads, bookings, and post-event performance, you'll help turn marketing results into world-class live experiences.
Key Responsibilities:
Event Planning & Coordination:
- Research and scout suitable venues across Australia and the UK based on event type, size, audience, and budget.
- Evaluate venue options and provide detailed cost comparisons and alternative recommendations.
- Negotiate contracts and secure bookings for venues, accommodation, and vendors.
- Manage logistics including room layout, AV equipment, catering, signage, and transport.
- Liaise with suppliers and vendors to ensure timely delivery of services and materials.
- Develop and maintain a comprehensive pre-event checklist and project timeline.
- Coordinate with internal teams and stakeholders to align event objectives and brand guidelines.
Budgeting & Cost Management:
- Prepare event budgets and track expenses to ensure cost control.
- Provide regular financial updates to management and flag any variances.
- Source cost-effective solutions without compromising on quality or attendee experience.
Event Readiness & Execution Preparation:
- Ensure all event elements are fully prepared and confirmed well in advance of event day, including delivery of materials, room setup requirements, staff briefings, and contingency plans.
- Coordinate with venue and vendors to confirm all logistics, timelines, and responsibilities are clearly defined and documented.
- Develop and distribute a detailed event run sheet outlining the flow of activities and key responsibilities.
- Provide clear communication and instructions to all team members and stakeholders involved in the event.
- Conduct a final readiness check prior to the event to ensure all components are in place for seamless execution.
Post-Event Review & Reporting:
- Conduct post-event evaluations to gather feedback from the event team.
- Prepare post-event reports with insights, lessons learned, and recommendations for future improvements.
Skills & Qualifications:
- Minimum 5 years of proven experience in planning and executing in-person events, particularly in Australia and the United Kingdom (A MUST).
- Strong knowledge of venues, suppliers, and event logistics in AUS and UK markets.
- Excellent negotiation skills and ability to build strong vendor relationships.
- Exceptional organisational and time management abilities.
- Strong attention to detail and ability to manage multiple events simultaneously.
- Excellent written and verbal communication skills.
- Ability to work independently and under pressure, with a hands-on approach to problem-solving.
- Proficiency in event management software/tools and Microsoft Office Suite.
Preferred Qualifications:
- Degree or certification in Event Management, Hospitality, Marketing, or related field.
- Experience managing corporate, networking, or community-focused events.
- Familiarity with sustainability practices in event planning is a plus.
