Events Specialist

We are looking for an Events Specialist who is responsible for planning, coordinating, and executing company events that promote brand visibility, strengthen client relationships, and support sales initiatives. This role ensures that all events—from property launches and open houses to corporate gatherings and community activities—are well-organized, professionally executed, and aligned with the company's objectives.
What you'll do:
Event Planning & Concept Development
- Develop event concepts that align with project goals, branding guidelines, and marketing strategies.
- Conduct venue research, site visits, and feasibility checks for event locations.
- Create event timelines, flow, and logistics plans.
Coordination & Execution
- Oversee end-to-end event execution including setup, program flow, suppliers, staffing, and teardown.
- Coordinate with internal teams (Marketing, Sales, Admin, HR, Creatives, Brokers) for event requirements.
- Supervise event day operations to ensure smooth implementation.
Supplier & Budget Management
- Source and negotiate with suppliers such as caterers, production teams, sound & lights, hosts, photographers, and decorators.
- Prepare and manage event budgets, ensuring cost efficiency without compromising quality.
- Process supplier contracts, purchase requests, and payments.
Client & Stakeholders Relations
- Support Sales teams during open houses, client gatherings, and project launches.
- Facilitate communication between the company and invited guests, partners, local government, and vendors.
- Ensure professional handling of guests, VIPs, and clients during events.
Marketing & Event Collaterals
- Coordinate with the creatives team for event materials (tarpaulins, banners, invitations, social media content, etc.).
- Assist in promoting events through social media, email, and internal channels.
- Document events through photos, videos, and post-event reports.
Administrative Tasks
- Prepare post-event evaluations, attendance reports, and expense summaries.
- Maintain an organized record of event files, permits, contracts, and supplier contacts.
- Ensure compliance with LGU event permits, safety regulations, and company policies.

Qualifications
- Bachelor's degree in Marketing, Communications, Business Administration, or related field.
- At least 5 years experience in events management, marketing, or project coordination (experience in real estate is a plus).
- Strong organizational and project management skills.
- Excellent communication and negotiation abilities.
- Creative, resourceful, and able to work under pressure.
- Willing to work on weekends or holidays during major events.
- Proficient in Google Workspace / MS Office; knowledge of Canva or event software is an advantage.
