Job description:

Duties and Responsibilities:

  • Safe keeping, manage and track company documents.
  • Responsible for training employees on records management procedures and policies, which include documentation, retention and retrieval.
  • Assists with the file migrations and audits, and perform administrative tasks as needed.
  • Responsible for overall coordination of controlled documentation within the plant.
  • Takes part on periodical procedure review and ensures that updates are available in timely manner.
  • Investigates and responds to corrective actions related to Document Control
  • Resolves discrepancies. Ensures that non-conformances or variances are approved and/ or minimized
  • Manage workflows and authorizations to ensure document review and approval by authorized personnel prior to release
  • Update documents as necessary and ensure re-approval prior to use.
  • Ensure changes and current revision status of documents are identified.
  • Ensure documents of external origin are identified and their distribution controlled.
  • Prevent unintended use of obsolete documents
  • Initiate (annual) review of Policies, Procedures, Work Instructions, Forms and other relative documents
  • Review applicability and effectiveness of documented policies, procedures and processes through monthly internal audit

Qualifications:

  • Willing to be assigned in FCIE Dasmariñas, Cavite
  • Must possess at least a Bachelor's/College Degree in Industrial Engineering, Business Management or equivalent
  • With 1 to 2 year(s) experience in document management and control
  • Knowledgeable in ISO Practices
  • Excellent in oral and written communication skills
  • Organize and attentive to details
  • Team Player, well organized and capable of meeting agreed deadlines in aligning the documents
  • Required skill(s): process documentation, system analysis
  • At least 1 year of working experience in the related field is required.
