We are seeking a detail-oriented and organized Administrative Data Specialist to join our team. The primary focus of this role is to accurately encode, process, and maintain sales data while providing essential administrative support. The ideal candidate will have exceptional organizational skills, a keen eye for detail, and the ability to manage multiple tasks efficiently. This role is crucial to ensuring that all data is accurately recorded, easily accessible, and aligns with original documentation.
Key Responsibilities:
- Data Entry and Encoding: Accurately and efficiently input sales data and other relevant information into the company's databases and systems. Confirm that all entered data aligns with original documentation.
- Data Processing and Maintenance: Process, verify, and maintain sales data, including customer information, transaction details, and product records. Track and manage all encoded data to ensure data integrity.
- Document Management: Organize and maintain original paper evidence and important documents. Transcribe, scan, or photocopy hard copy documents as needed, and file them in a logical and manageable fashion.
- Self-Audit and Quality Control: Regularly audit your work to check for errors, duplication, or inconsistencies. Report any major errors or inconsistencies to upper management.
- Data Reporting: Generate, prepare, and maintain logs of in-progress and completed work. Assist in the preparation of regular reports on sales data for management review.
- Administrative Support: Provide general administrative support, including managing correspondence, scheduling meetings, and preparing documents. Keep shared office spaces organized and resolve administrative issues by preparing reports, analyzing data, and finding solutions.
- Communication and Coordination: Effectively and respectfully communicate with internal and external stakeholders in various formats (phone, email, mail). Collaborate with the sales and operations teams to gather and verify data.
- Confidentiality and Integrity: Handle sensitive information with the utmost confidentiality and ensure the accuracy and integrity of all data.
Requirements:
- Education: High school diploma or equivalent; a college degree is preferred.
- Experience: At least 2 years of experience in a data entry or data processing role, preferably with a focus on sales data. Experience with SAP software is preferred.
- Skills:
- Exceptional organizational skills and a keen eye for detail.
- Excellent typing skills and experience working with Windows, Microsoft Office, and Google Suite.
- Strong time management skills with a respect for deadlines.
- Ability to spot errors with accuracy and efficiency.
- Polite and professional communication skills in both English and Filipino.
