Administrative Staff (Finance Department) Overview
Administrative staff assigned to the Finance Department provide support in daily financial and administrative operations. They help ensure that financial documents, records, and reports are accurate, properly filed, and submitted on time. Their role combines clerical duties with basic financial tasks to help maintain the smooth flow of the company's financial processes.
Key Responsibilities
- Document and record management – Maintain organized records of financial documents such as invoices, receipts, and payment vouchers.
- Processing payments and reimbursements – Assist in preparing, checking, and routing payment requests, petty cash, and employee reimbursements for approval.
- Monitoring expenses – Help track office and project-related expenses to ensure they are properly recorded and within budget.
- Filing and coordination – Ensure all finance-related files are complete, properly labeled, and securely stored (physical and digital).
- Report preparation assistance – Support the accounting team by preparing summaries or compiling data needed for financial reports.
- Support during audits – Assist in organizing and providing required documents for internal and external audits.
- Office coordination – Coordinate with suppliers, departments, or employees regarding billing, payment follow-ups, and other finance-related concerns.
Required Skills
- Attention to detail – Ensures accuracy in financial documents and records.
- Organizational skills – Keeps files, reports, and transactions well-organized and easy to access.
- Communication skills – Coordinates clearly with accounting, suppliers, and other departments.
- Basic financial knowledge – Understands common financial processes such as billing, petty cash, and reimbursements.
- Computer literacy – Proficient in MS Office (especially Excel) and familiar with basic accounting or documentation systems.
- Integrity and confidentiality – Handles financial and company information with professionalism and discretion.
