Accounting Supervisor

A. Billing Functions

1. Process Order Slip and Delivery Receipts, by tagging sales order in SAP and coordinate with Logistics Department for delivery schedule and other billing/collection instruction.

2. Counter checks printed Order Slips against Delivery Receipts before endorsing them to Logistics Department.

3. Issue BIR Sales Invoice.

4. Ensure all Order Slips and Delivery Receipts are signed received by customers through checking and verification of daily processed receipts.

5. For unpaid transactions, secure white (original) copy of Order and verify it is duly signed by customers.

6. Safeguard all original white copies of Order Slips are properly inserted in their respective Account Jacket and that total amount tallies with the Accounts Receivable System Balance.

7. Conduct Credit Investigation for new customers and aspiring dealers availing of terms. Analyze and assess the credit worthiness of the account using past credit collection history and bank balance inquiries and submit recommendation to the Accounting Supervisor for final approval.

8. Keep Customer Information Application Forms and their respective attachments like SEC, DTI, Mayor's Permit and Identification Cards and check if the client's name, telephone numbers and address were correctly encoded in the System.

9. Check if Order Slip with equipment terms has signed Contract to Sell before releasing the item.

B. Collection Functions

10. Send Statement of Account via e-mail and follow up all outstanding balances thru telephone calls, e-mail, SMS, viber, messenger or any other similar means of communication for collections purposes.

11. Remit/transmit check and/or cash collection to Treasury.

12. Ensure BIR CWT are properly accounted and BIR 2307 forms are collected.

13. Submit Collection Status Reports of Past Due Accounts weekly including Unpaid Installments indicating the last date of follow-up and collection activity.

14. Encode Credit and Debit Memo particularly Sales Returns, Freight Charges and Price Discounts.

15. Recommend filling of Demand Letters and Termination of Installment Contracts.

16. Prepare daily itinerary of Collector/Messenger based on scheduled collection.

17. Maintain all files, forms and document in systematic manner

18. Perform account reconciliation for all assigned customer

19. Perform other duties as may deem necessary by the management

C. Bookkeeper Functions

20. Comply with the BIR requirement from the establishment, and audit up to the retirement of business and all monthly, quarterly, and annual remittances. Compute, and print BIR forms, and ensure correct posting in the BIR system, timely payment, and online & offline submission have complied.

21. Accurately encode all the necessary information in the BIR efps, e-forms, alphalist, and relief system and ensure successful payment.

22. Update daily the BIR manual books of accounts such as Journals and Ledgers, for all four companies if required. Secure a new set of books based on the schedule set by the BIR.

23. Update SAP Customer Information Profile in coordination with the Billing and CSR. Secure valid documents such as CIF, SEC, DTI, Business permits, etc.

24. Responsible for the accurate and timely landed costing in SAP.

25. Monitor payment of Lazada and prepare necessary journal entries in SAP.

26. Perform necessary inventory adjustment and reconciliation of transactions from the Production App and Inventory Transfers.

27. Approval of sales orders and AP invoice / A/P Down payment

28. Maintain effective and organized record-keeping for both hard and soft copies. Ensure all important documents have scanned pdf copies saved in local and server drives for quick access and retrieval in case of an audit, checking, re-submission, and verification of data
