POSITION SUMMARY
The
Facilities Associate
will be responsible for overseeing maintenance schedules, facility operations, vendor management, and workplace safety initiatives. Coordinates audits, ensures documentation compliance, and supports emergency response activities.
DUTIES AND RESPONSIBILITIES
- Assists in overseeing maintenance schedules and facility operations including office space organization and equipment upkeep.
- Supports vendor management for building services.
- Coordinates workplace safety initiatives and compliance checks.
- Participates in audits and ensures documentation is current.
- Awareness of health and safety regulations in the workplace.
- Ability to support coordination of repairs, maintenance, and emergency response activities.
- Assist in addressing employee concerns related to workplace infrastructure.
- Support the onboarding of new employees with workspace setup and access coordination. (Pedestal, Locker Issuance, Badge ID printing, and welcome kits).
- Keeps an inventory of building supplies, gadgets, furniture and equipment, manages spare parts, and recommends when to dispose of items. practicing effective inventory management.
- Maintain & Process records, files, and documentation related to facilities and admin operations.
- Perform documentation activities using Microsoft Office Application (MS Word, MS Excel and MS PowerPoint) and Adobe Acrobat.
- Adherence to company policy and procedures for compliance to ISO standards.
- Other duties as may be assigned.
QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
- Must have a Bachelor's degree in Facilities or Office Management, Engineering (Mechanical, Electrical, Civil) or any related courses.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent verbal and written communication skills – ability to interact with all levels in the organization.
- Ability to establish and maintain effective working relationships and ability to interact with end-users and stakeholders at all levels.
- Ability to work autonomously and ready for possible schedule changes.
- Ability to prioritize work and handle simultaneous assignments.
- Ability to learn continuously such as emerging industry standards, tools, and applications.
- Strong critical thinking ability and problem-solving skills.
- Strict adherence to safeguarding confidential information.
OTHERS
- Willingness to work in a hybrid work environment, with a minimum of three days in the office.
- Shift: Monday to Friday; Flexible between AM and PM shift with rotation
