Job Summary:

The purpose of this position is to provide administrative support to the Finance function so that the accounts payable activities are managed in-accordance within established policies and procedures. In particular:

  • Update and maintain the Pronto database to ensure accurate data is available to effectively administer accounts payable and broader finance functions
  • Review and verify documentation to ensure all relevant information is provided to ensure the accurate and timely payment of accounts to creditors in accordance with financial procedures
  • Provide up to date and relevant information to the payment team to be able to process timely and accurate payments to the creditors.

Responsibilities:

Legislative, Accreditation and Organisation Requirements
  • Ensure activities within the area of responsibility comply with:
  • Occupational Health & Safety Act, Food Safety, and employment-related legislation such as Equal Opportunity.
  • Our Client Policies and Procedures and related finance legislation such as GST.

Operations

  • Complete bank reconciliations and maintain cash position worksheets.
  • Assist in completing and lodging monthly BAS and PAYG statements, and annual FBT returns; review annual payroll tax and work cover returns.
  • Complete monthly reconciliations as per Finance timetable and ensure review and sign-off by applicable company officers.
  • Manage Redmap efficiently to ensure timely invoice flow, approvals, query resolution, and smooth integration with Pronto.
  • Manage supplier creation and ensure accuracy of supplier static information.
  • Assist with monthly accrual process.
  • Completion of work orders in a timely manner.

Requirements:

  • Bachelor and/or post-graduate degree in Commerce, Finance, or Economics.
  • Computer literate with strong Microsoft Office knowledge, particularly Excel.
  • Solid understanding of ERP accounting software, with experience in Pronto highly desirable.
  • Additional post-graduate qualifications will be well considered but are not essential.

Key Selection Criteria

  • Demonstrated experience in a similar role providing high levels of administrative and finance support.
  • Experience with recording, reviewing, and preparing reports using various MS Office products.
  • Ability to work within established systems and processes to perform a range of finance and office administration activities.
  • Demonstrated ability to review processes and systems and recommend improvements.
  • Proven high-level interpersonal skills and ability to communicate and present effectively with people at different levels.
  • Strong administration and organisational skills with proven ability to independently manage workloads.
  • Demonstrated time management, problem-solving, and decision-making skills.
  • Ability to work independently and cooperatively in a team environment, adaptable to a wide range of tasks, with capacity to build, develop, and grow professional and personal skills.
