Overview:

The role of the Administrator is to perform all the job functions listed below to ensure smooth operation of the Business. The role will include providing support where required to the Operations Manager and Advice Production Manager and other staff in the office.

Key Responsibilities:

Client Administration

  • Ensure client requests are made and kept informed as required
  • Implement changes to client's accounts as agreed
  • Ensure all documents are stored securely and in the designated areas
  • Manage planner diaries

Database Management/Workflow

  • Update client notes/Jobs as required within Worksorted for each task undertaken

Liaise with Third Parties including:

  • Fund Managers & Insurers
  • Centrelink

Printing & Binding

  • Preparing forms and materials required by Financial Planners for their Presentation meetings as required.

Client Ad Hoc Withdrawals

  • Complete the required paperwork & forms for client pension withdrawals
  • Process withdrawal paperwork with Fund Manager
  • Undertake the necessary follow-up with Fund Managers as required
  • Keep clients informed of progress as necessary

Authorities

  • Send off client authorities within 24 hours of client meeting being held
  • Follow up with Fund Manager

Skills and Qualifications:
  • Ideally, a minimum of 2 years' experience in a financial planning administration role is essential.
  • Strong familiarity with superannuation, investment, and insurance products is highly desirable.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook)
  • Strong attention to detail and accuracy in all aspects of work.
  • Excellent written and verbal communication skills.
  • A proactive and adaptable approach to problem-solving and workflow management.
What We Offer:
  • Salary is negotiable based on experience
  • Personal HMO Coverage plus up to two dependents
  • 27 days leave per year – usable for sick leave, personal leave or vacation
Schedule & hours:
  • Full time, Monday to Friday, 7am to 4pm (Cebu time) to align closely with Australian time.
  • Working hours are 7.5 hours (1.5 hours break built into the above times).
