Organizational Setting and Reporting Relationship
The position of Senior Operations Assistant is assigned to the Guarantees and Syndications Unit (GSU) under the Office of the Director General (OPSD) within the Private Sector Operations Department (PSOD). You will be based at our Headquarters in Manila, Philippines.
You will report to the designated International Staff and Officer (as applicable).
Your Role
As a Senior Operations Assistant, you will perform full administrative support and help coordinate administrative activities for the assigned unit. You will coordinate within PSOD and with other ADB departments, and external parties.
You will:
a. Mail/Written Communications/Follow-up
- Ensure that all correspondence and documents for supervisors are correct and prepared in compliance with ADB's standards.
- Ensure that all incoming correspondence is logged and distributed, and promptly brought to the attention of concerned staff, and that mails are delivered on time.
- Ensure follow-up of specific queries
b. Oral Communications/Internal & External Contacts
- Provide efficient administrative services by proper screening of incoming telephone calls, taking accurate messages, dealing with queries from internal/external partners to ensure they are referred promptly to concerned staff
- Attend to external visitors and ensure that they are properly received and accompanied to their meetings
c. Calendar/Travel
- Ensure the effective coordination of supervisor's schedule by maintaining diaries and arranging appointments, meetings, travel and accommodation as specified by the supervisor and following ADB procedures.
d. Office Administration
- Ensure that office filing systems and records are properly maintained and updated following an existing framework for easy retrieval.
- Track the flow of documents with the use of databases to ensure deadlines are met.
- Assist as to the application/interpretation of work area procedures, guidelines and formats to junior administrative staff.
- Perform certain standard activities such as maintaining adequate stocks of office supplies; coordinating inventory, allocation, and requirements for the division or department.
- Help with the preparation and monitoring of the GSU-BF budget.
e. Coordination
- Coordinate the various activities such as regular meetings, ensuring optimal attendance and venue arrangements.
f. Data Analysis and Report Generation
- Collect, compile and analyze relevant information and data related to the mobilization and blended finance to produce routine and/or ad hoc statistics/reports.
- Help prepare presentation materials related to mobilization and concessional finance.
- Update GSU database and project files.
g. Others
- Perform other tasks as may be assigned.
You will need:
- Bachelor's degree in Business Administration, Finance, or relevant fields
- At least 5 years of relevant professional experience.
- Sound knowledge of common word-processing, spreadsheets and graphics software such as Excel, PowerPoint and Sharepoint
- Familiarity with videoconferencing tools (MS Teams, Zoom, Webex)
- Experience coordinating the distribution of tasks among other administrative assistants
- General understanding of ADB's purpose and ability to work with individuals from different cultural/national backgrounds
- Good working knowledge of procedures, formats and standards relevant in the performance of work
- Appreciation of matters of confidentiality and urgent attention especially in the supervisor's absence
- Excellent command of written and spoken English

Additional Information
This appointment is open to internal and external applicants.
This is a fixed term appointment with option to renew, initially for a period of up to 3 years, or up to the Normal Retirement Date (NRD), whichever comes earlier, for the purpose(s) and conditions determined by ADB, in accordance with Administrative Order No Recruitment and Appointment). After the initial fixed-term period, ADB may choose to renew the appointment for up to an additional 3 years or not renewed. This decision will be made in the overall interest of ADB, based on factors including but not limited to the requirement of Staff's particular blend of skills and experience for the medium-term work program of the organizational unit, sufficient funding to cover the renewed period, and Staff's performance and suitability for employment. There is no limit to the number of renewals up to NRD. However, this appointment is not convertible to a regular appointment.
