The Legal and Personal Secretary to the CEO provides high-level administrative, legal, and personal support to the Chief Executive Officer. This role requires exceptional organizational skills, discretion, and the ability to manage sensitive information while ensuring smooth day-to-day operations for both corporate and personal matters.
Key ResponsibilitiesLegal Support
- Draft, review, and proofread legal documents, contracts, and correspondence.
- Maintain and organize legal files, case records, and compliance documentation.
- Coordinate with external counsel, regulatory agencies, and internal stakeholders on legal matters.
- Monitor deadlines for filings, hearings, and compliance requirements.
- Conduct basic legal research and prepare summaries for the CEO's review.
- Manage the CEO's calendar, schedule meetings, and coordinate appointments.
- Handle confidential communications, emails, and phone calls with professionalism.
- Prepare reports, presentations, and meeting minutes.
- Organize travel arrangements, itineraries, and logistics for both business and personal engagements.
- Ensure smooth coordination between the CEO and internal/external stakeholders.
- Support the CEO with personal tasks including household management, family scheduling, and personal appointments.
- Liaise with service providers, vendors, and personal contacts on behalf of the CEO.
- Maintain discretion and confidentiality in handling personal and professional matters.
- Bachelor's degree in Law, Legal Management, Business Administration, or related field.
- Prior experience as a Legal Secretary, Paralegal, or Executive Assistant (minimum 2–3 years preferred).
- Strong knowledge of legal terminology, documentation, and compliance processes.
- Excellent organizational, multitasking, and time-management skills.
- Outstanding communication skills (written and verbal).
- High level of discretion, integrity, and professionalism.
- Proficiency in Microsoft Office Suite, Google Workspace, and case/document management systems.
- Attention to detail and accuracy in legal and administrative tasks.
- Ability to prioritize and manage multiple responsibilities under pressure.
- Strong interpersonal skills to interact with executives, clients, and stakeholders.
- Adaptability to handle both corporate and personal matters seamlessly.
- Confidentiality and trustworthiness in managing sensitive information.
