Systems and AI Administrator

ABOUT THE ROLE:

We're looking for a Systems & AI Administrator (Part Time) to support, secure, and evolve our company's Microsoft environment — while also helping us build and maintain next-generation chatbots and AI tools that empower our team to work smarter.

This role combines hands-on Microsoft 365 systems administration with a growing focus on data automation and AI development, using company data from SharePoint, Notion, and RentViewer. You'll be the key point person keeping our infrastructure efficient and secure, while partnering with leadership to implement AI-driven workflows that turn our operational data into practical, natural-language tools for daily use.

RESPONSIBILITIES:

Microsoft 365 Administration

• Manage user accounts, licenses, and access control for approximately 50 team members.
• Configure and maintain Teams, SharePoint, OneDrive, and Outlook integrations.
• Monitor system performance, conduct regular audits, and enforce security policies.
• Oversee data backups, recovery, and retention policies across Microsoft 365.

IT Support & Troubleshooting

• Provide IT support during CST business hours (9 AM–5 PM).
• Can set up a ticket response time to balance to hourly schedule.
• Resolve issues related to connectivity, email, file access, VPNs, and device setup.
• Document incidents and resolutions to maintain an organized IT knowledge base.
• Support onboarding and configuration for new hires.

System Security & Maintenance

• Maintain endpoint protection, updates, and patch management across devices.
• Manage access permissions with least-privilege principles.
• Conduct system audits and help identify opportunities to improve our security posture.

AI / Automation Development

• Partner with leadership to develop internal chatbots using Microsoft Copilot, ChatGPT, or related tools to query and interact with company data.
• Build bots to handle specific internal use cases, including:

1. Compliance Chatbots – state-specific (NE, OK, IA, KS) to guide staff on regulations.

2. Policy & SOP Chatbot – trained on company procedures and documentation.

3. Property Information Bot – powered by Notion and property data, capable of answering operational questions about property performance, work orders, and rent collection.

• Integrate AI assistants with Slack and Notion to provide context-aware responses.
• Assist in the design and deployment of data pipelines connecting RentViewer dashboards (P&L, Rent Collection, Work Orders, etc.) with AI interfaces.
• Work with the team to establish governance and compliance around AI usage.

Data & Dashboard Collaboration

• Support data accuracy and flow across property data, Notion, and Microsoft environments.
• Help build property-level dashboards as the foundation for portfolio and company-level rollups — supporting a shift toward financially informed asset management.
• Contribute to future automation tools for incentive fee calculations, rent increase modeling, and variance tracking across portfolios.

REQUIREMENTS:

• 3+ years in IT or Systems Administration, ideally with Microsoft 365 and Azure AD.
• Strong working knowledge of Microsoft Teams, SharePoint, and data security best practices.
• Familiarity with automation tools (Power Automate, Copilot, ChatGPT, or similar).
• Basic understanding of APIs, connectors, or low-code app builders.
• Excellent problem-solving, documentation, and communication skills.
• Experience with data visualization or dashboard tools (Power BI, Notion, etc.) is a plus.
• Curiosity and adaptability to learn emerging AI platforms and integrate them securely.
• Amenable working in US Time zone anytime between (10pm-6am MNL), approximately 10 Hours/Week.
• Has a stable internet connection.
• Should be able to start ASAP

Job Type: Part-time

Pay: Php Php1,200.00 per hour

Expected hours: 10 per week
