Key Responsibilities

  • Review and finalize requisitions in ZIP to ensure accuracy, completeness, and compliance with company policies before conversion to POs.
  • Manage and update purchase orders (POs) in ZIP, ensuring all details are accurate and aligned with approved requisitions.
  • Maintain and monitor vendor profiles (creation, updates, inactivation) in ZIP and related systems (e.g., NetSuite, ERP).
  • Generate and update weekly/monthly reports related to PO status, vendor activity, and payment tracking.
  • Support vendor onboarding by coordinating documentation (e.g., W9s, banking details, compliance requirements).
  • Track and follow up on pending approvals, invoice issues, and payment status.
  • Collaborate with internal teams (Sourcing, Accounting, and AP) to ensure smooth and timely processing of requests.
  • Identify repetitive tasks and suggest process automation or simplification where possible.

Qualifications

  • Bachelor's degree in Accounting, Finance, or a related field (CPA or equivalent is a plus).
  • Proven experience (5+ years) in Accounts Payable or related accounting functions
  • Strong understanding of the end-to-end Procure-to-Pay (P2P) process.
  • Experience using ZIP ERP (or similar procurement/workflow management tools) is an advantage.
  • Familiarity with NetSuite or other ERP systems is a plus.
  • Strong attention to detail, organizational, and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficient in Excel/Google Sheets for reporting and tracking.
