SUMMARY

Under general supervision and direction and within the limits of the established process, procedure and policies of Legal and Compliance Department. The primary role of this position is to work with a variety of professionals in office settings. This can include Office Managers and other leaders within an organization. Forming and fostering relationships with other agencies is of great importance, hence the Staff is expected to conduct himself/herself in a way that will not shame the department where he or she is a part of.

A. ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Checks email for work-related requests.

2. Checks the Work Order Request Form for work-related requests.

3. Will draft legal letters (with supervision of Legal and Compliance Manager) such as:

a. Special Power of Attorney

b. Secretary Certificate

c. Board Resolution

d. Affidavits

e. Real Estate Mortgage

f. Chattel Mortgage

g. Memorandum of Agreement

h. Contract of Lease

i. Assignment of Lease

j. Other legal documents

4. Prepare Request for Payment both through system and hardcopy.

5. Prepare the following:

a. Contract to Sell

b. Deed of Sale

6. In-charge of Land title transfer payments and Real Estate Tax payments:

a. Capital Gains Tax payment

b. Documentary Stamp Tax payment

c. Transfer Tax payment

d. Value – Added Tax payment

e. Register of Deeds payment

f. Real Property Tax payment

g. New Tax Declaration payment

7. In-charge of Land title transfer:

a. Bureau of Internal Revenue

b. City or Municipal Treasurer's Office

c. City or Municipal Assessor's Office

d. Department of Agrarian Reform

e. Register of Deeds

8. In-charge of Court – related transactions:

a. Case filing at Prosecutor's Office

b. Representative during Court Trial's

c. Coordinating with Sheriff

9. Handles:

a. BIR - property related transactions

b. Notarization of documents - property related

c. Application and renewal of Business Permit

d. Annotation of Real Estate Mortage and Chattel Mortgage

e. Barangay-related transactions concerning permits

10. Encode and prepare reports.

11. Will join in disciplinary hearing in case the Department Manager is not around.

12. Point person:

a. In case of Accident

b. In case of Incidents involving properties

13. May act as the point of contact between the department and other government and non-government agencies.

14. In charge of Insurance:

a. Vehicles – Premium insurance

b. Buildings and machinery

15. In charge of LTO renewal:

a. Prepares the budget for LTO renewal (Emission, TPL insurance and LTO renewal fees)

b. LTO plates for new vehicles

16. In charge of Vehicle transfer:

a. Check if the vehicle is under the company name

b. If encumbered and already fully paid, process the transfer of the ORCR to company name

17. Provide quality customer service.

18. Keep company operations and information confidential.

19. Other tasks related to the Legal and Compliance department.

B. Others:

1. Updates job knowledge by participating in training opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.

2. Maintains customer confidence by observing the Data Privacy Act.

3. Assures accountability is maintained at all times.

4. Performs related duties and responsibilities, or ad-hoc tasks, as may be assigned and requested by the immediate superior due to business exigencies.

QUALIFICATIONS


• Must be a college graduate


• Have undergone trainings and seminars related to the job (preferably)


• With driver's license.


• At least 1 year work experienced related to the job.


• Confidentiality and integrity are a must.


• Sense of Urgency is a must. Deadlines must be met.


• Good discretion; will not divulge information to other people.


• Competent at planning itineraries and resourceful when it comes to expenses.


• Safe handling of documents, cash and checks.


• Must be responsible and accountable, blaming other people for their lapses is not acceptable.


• Must follow instructions from the immediate head concerning work-related tasks.


• Ability to coordinate and communicate well with government and non-government personnel.


• Trustworthy, dedicated, and result oriented.


• Proficient in MS Word, Excel and Power point.


• Ability to make work-related reports, completely and accurately.


• Does not participate in office gossip


• Participates in company activities.
