Job Overview

The O&M Secretary provide support to O&M Administrator, other employees, and office visitors by handling variety of tasks in order to ensure that all interactions between the organization and others are positive and productive.

Duties and Responsibilities

  • Greeting and assisting visitors to the office.
  • Screening phone calls and routing callers to the appropriate party.
  • Take detailed minutes during the meeting.
  • Organize schedule of drivers and vehicle assignments.
  • Assist in the preparation of regularly scheduled reports.
  • Ensures operation of equipment by completing the preventive maintenance requirements, calling for repairs, and maintaining equipment inventories.
  • Provide general support to Executive Management and O&M Administrator in handling requests and queries.
  • Receive admin related invoices and review accuracy before forwarding them to the Accounting Team.
  • Performs other duties as assigned.

Qualifications

  • Graduate of BS in Business Administration or other related fields.
  • At least 2 years' experience in the field.
  • Working knowledge of office management systems and procedures.
  • Proficient in MS Office.
  • Comfortable with routinely shifting demands.
