Job Overview
The O&M Secretary provide support to O&M Administrator, other employees, and office visitors by handling variety of tasks in order to ensure that all interactions between the organization and others are positive and productive.
Duties and Responsibilities
- Greeting and assisting visitors to the office.
- Screening phone calls and routing callers to the appropriate party.
- Take detailed minutes during the meeting.
- Organize schedule of drivers and vehicle assignments.
- Assist in the preparation of regularly scheduled reports.
- Ensures operation of equipment by completing the preventive maintenance requirements, calling for repairs, and maintaining equipment inventories.
- Provide general support to Executive Management and O&M Administrator in handling requests and queries.
- Receive admin related invoices and review accuracy before forwarding them to the Accounting Team.
- Performs other duties as assigned.
Qualifications
- Graduate of BS in Business Administration or other related fields.
- At least 2 years' experience in the field.
- Working knowledge of office management systems and procedures.
- Proficient in MS Office.
- Comfortable with routinely shifting demands.
