Duties and Responsibilities:
- Data Entry and Security
a. Accurately enter and maintain visa applicant information.
b. Verify the completeness and correctness of submitted visa application documents.
c. Adhere to data security and confidentiality protocols when handling seafarer information.
- Documentation and Compliance
a. Completion and submission of all relevant visa documents and requirements within specified timeframes.
b. Prepare and review all legal documents.
c. Maintain up-to-date information on embassies of other countries for future reference.
d. Prepare all reports as required by the department and the principal.
e. Conduct quality checks on submitted visa documents for completeness and accuracy.
f. Prepare documentation required by the Finance Department related to visa processing.
g. Generate additional reports as needed by the department.
- Visa Processing
a. Manage appointment schedules for visa interviews.
b. Prepare and coordinate secondary visa documentation.
c. Prepare guarantee letters for embassies.
d. Coordinate with embassies for visa procedures and requirements.
e. Ensure the efficiency of the visa application process.
f. Stay updated on visa regulations and embassy procedures.
- Support for Seafarers and Stakeholders
a. Collect seafarers visa requirements.
b. Remind seafarers of their appointment dates for visa interviews.
c. Instruct seafarers on the proper requirements for completing their visa applications.
d. Coordinate with the Visa Group Advisor to determine document needs for visa applications.
e. Provide support across all facets of the Visa Service to maintain smooth and efficient operations.
f. Ensure a positive client experience throughout the visa application process.
g. Respond to all internal communications for visa inquiries, providing necessary information and support for the Seafarer / Crewing / Principal.
- Perform other lawful duties as may be assigned.
QUALIFICATIONS:
- Bachelor's degree in Business Administration, Human Resources, or a related field.
- At least 1–2 years of experience in documentation, data entry, or visa/immigration processing (preferably in the maritime industry).
- Strong attention to detail, accuracy, and confidentiality in handling sensitive information.
- Good communication and coordination skills with stakeholders and external agencies.
- Proficient in MS Office applications and other relevant systems.
- Open for fresh graduates
