Job Summary:
Administrative assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication
Responsibilities:
Document Management:
- Manage and control all company documents to ensure accuracy and compliance.
- Develop and maintain a structured filing system for easy document retrieval.
- Ensure proper classification, indexing, and labeling of documents.
- Monitor document revisions and maintain a clear record of changes.
- Conduct regular audits to ensure document accuracy and completeness.
Scanning:
- Handle the scanning of physical documents to create digital records.
- Ensure all scanned documents are clear, properly named, and stored.
- Organize scanned files in line with company filing standards.
Filing:
- Maintain an efficient filing system (both physical and digital) for all company records.
- Ensure that all files are up-to-date and easily accessible to authorized personnel.
- Regularly review and archive old or inactive files in accordance with company policies.
- Handle the secure disposal of outdated or sensitive documents.
Actual task.
Sales Contract Management:
- Coordinate, Review, and validate customer sales contracts for completeness and accuracy.
- Ensure timely encoding and archiving of signed contracts.
- Coordinate with Sales, Customer Operations and Customers on expired contracts and for signing.
CWT Documentation:
- Collaborate with Customer Operations in contract expirations and renewals and maintain an updated contract database
- Collect and validate CWT certificates from customers.
- Coordinate with Credits Team for reconciliation of CWT entries against collections.
VAT Zero Documentation:
- Assist in resolving discrepancies related to CWT claims and documentation.
- Ensure all required documents for VAT zero-rated transactions are complete and compliant with BIR regulations.
- Monitor submission timelines and follow up with customers for pending documents.
- Maintain a tracker for VAT zero documentation per customer and per transaction.
- Liaise with Customer Operations, Finance and Tax teams for audit preparation and compliance checks.
And other admin tasks.
Qualifications:
- Bachelor's degree in business administration, Accounting, Finance, or related field.
- Proven experience in document control or related administrative role.
- Strong organizational skills with attention to detail.
- Proficiency in document management software and Microsoft Office Suite.
- Excellent communication and interpersonal skills.
- Familiarity with contract management, BIR regulations on CWT and VAT zero-rated transactions is a plus..
- Ability to handle sensitive information confidentially.
- Familiarity with relevant industry standards and regulations is an advantage Ability to multitask and prioritize effectively.
