DUTIES AND RESPONSIBILITIES
HR Operations Support
Acts as the primary HR contact for assigned branches/units for daily HR concerns.
- Provides clarification on HR policies, attendance rules, behavioral guidelines, and basic HR processes.
- Conducts branch/site visits to validate concerns, observe workplace conditions, and coordinate corrective actions with Operations.
Assists in resolving employee inquiries and escalating complex issues to the HR Operations Supervisor.
Attendance & Performance Monitoring
Monitors attendance, tardiness, leave usage, and behavioral patterns of employees under assigned branches/units.
- Flags potential issues (recurring tardiness, frequent absences, behavioral concerns) and endorses findings to the HR Operations Supervisor.
Supports performance improvement initiatives by helping track KPIs, coaching sessions, and action plan follow-ups.
Employee Relations Assistance
Conducts initial fact-finding for minor ER concerns such as attendance violations, behavioral lapses, or policy deviation.
- Prepares basic ER documents (incident reports, employee statements, attendance trackers).
- Coordinates with supervisors/managers during ER meetings or clarifications.
Escalates medium to major cases to the HR Operations Supervisor for deeper investigation.
Training & Pocket Session Facilitation
Conducts pocket trainings for employees, including:
- HR policy refreshers
- Values reinforcement
- Attendance & behavior compliance
- Operations-related HR reminders
- Ensures that all trainings are properly documented and reported to the HR Operations Supervisor.
- Assists in implementing Training & OD-provided modules and ensures staff attendance.
Gathers feedback and provides recommendations on training effectiveness.
Recruitment & Onboarding Coordination
Coordinates with Recruitment for manpower requests from assigned branches.
- Assists in initial screening or scheduling interviews for operations roles.
Ensures smooth onboarding of newly hired employees by conducting HR orientation and monitoring their early attendance and compliance.
Documentation & Compliance
Ensures all HR logs are accurate and updated, including:
- Attendance trackers
- ER documentation
- Site visit reports
- Training attendance sheets
- Prepares weekly summaries for review by the HR Operations Supervisor.
- Maintains employee records and supports 201 file updates.
- Ensures compliance with established HR procedures and labor standards.
JOB SPECIFICATIONS / QUALIFICATIONS
- Bachelor's Degree in HR Management, Psychology, Business Administration, or any related field.
- At least 1–2 years of HR experience, preferably in HR operations, employee relations, or training.
- Strong interpersonal and communication skills.
- Knowledge of HR policies, attendance rules, basic labor law concepts, and HR documentation.
- With experience in handling employee concerns or conducting small group trainings (an advantage).
- Organized, proactive, and willing to conduct branch/site visits.
- Ability to coordinate effectively with Operations and other HR teams.
