Role Overview

We are looking for a detail-oriented Dispatcher / Operations Coordinator to ensure efficient scheduling, coordination, and support of field operations. This role is responsible for managing dispatch schedules, communicating with clients and field teams, maintaining records, and ensuring timely service delivery in line with traffic management plans.

Key Responsibilities

Dispatch & Scheduling

  • Coordinate and assign field team resources based on availability, client requirements, and skillsets.
  • Monitor daily coverage and optimize schedules to ensure 100% service delivery.
  • Dispatch according to approved Traffic Management Plans while maintaining error rates below 2%.
  • Manage subcontractor engagement when additional resources are required.

Communication & Client Coordination

  • Respond promptly to client and field team calls/emails, addressing requests, issues, and safety concerns.
  • Communicate updates, schedule changes, and reminders to field teams, including weekend availability.
  • Escalate unresolved issues or policy violations to the Operations Manager.
  • Identify additional client needs and communication opportunities for expanded services.

Documentation & Reporting

  • Maintain accurate client, subcontractor, and field team records, including certifications and availability.
  • Complete daily dispatch logs, weekly summary reports, and necessary data entry in dispatch systems
  • Update CRM and internal systems with scheduling activities, service records, and escalation notes.

Operational Support & Safety

  • Collaborate with Operations, TMP, and Estimating teams to align scheduling with project expectations.
  • Assist with field conflict resolution and escalate unresolved issues within the same shift.
  • Support the company's Health & Safety initiatives and attend required meetings.
Requirements
  • Minimum 1 year of experience in dispatch coordination, scheduling, or operations support.
  • Experience in traffic control, construction, or field services preferred.
  • Strong organizational and multitasking skills with attention to detail.
  • Proficiency in Microsoft 365 and dispatch or scheduling software.
  • Excellent communication and problem-solving skills.
  • Ability to manage conflicts and resolve issues quickly in a fast-paced environment.
